Administrative Assistant- Part-Time
Temporary with the strong possibility of direct hire
12-15 hours/week
Schedule:12:30-5pm CST Monday, Tuesday, Thursday
Onsite
Office Location: The Loop- Wacker & Monroe- close to Union Station
About Client:
They are a middle-market, private-equity firm, located in downtown Chicago investing in business services companies. They have an immediate opening for a detail-oriented, conscientious, flexible, office administrator. The ideal candidate for the role is a flexible problem-solver who has superb communication skills, a “can do it” attitude, and a detail-oriented mindset. This person should have experience thriving in an administrative role. Effective multitasking and a unique ability to handle the unexpected are essential qualifications for the position.
Key Responsibilities:
- Ensure that the office is organized and supplies are replenished daily. Monitor office supply inventory and place orders as necessary to prevent shortages.
- Serve as the first point of contact for clients and visitors, managing reception duties with professionalism.
- Handle phone calls and correspondence, including emails, letters, and packages.
- Responsible for ordering meals that are served at the office, as well as setting up and breaking down the setup.
- Assist with sorting mail and printing/scanning support.
Qualifications:
- 3 years of experience in an office administrator or similar administrative role.
- Ability to multitask, prioritize projects, and manage time effectively.
- Excellent written and verbal communication skills, with a professional and friendly demeanor.
- High level of accuracy and thoroughness in all tasks.
- Aptitude for identifying issues and developing effective solutions.
- Ability to adjust to changing priorities and work effectively in a team environment.
- Strong knowledge of Microsoft Office Suite (Word, Excel, and Outlook) and other relevant office software.
