Purpose: The office Coordinator is the only person who has direct contact with every client, employee, and referral source. As your energy goes so goes the energy of the team and the company. This position will support multiple company faces, with more being created in the future. As of the time of this posting, it supports 2 dog training companies and a real estate company. Please apply if you have enough bandwidth to cover all the new things they are doing and will expand into. This role will change and grow.
Duties:
Daily
- Greet everyone with uplifting, positive energy
- Review daily schedule and confirm all appointments
- Follow up on all leads as needed
- Schedule all meetings, lessons, demos, and other types of consultations
- Follow up on team tasks to insure accountability
- Pass notes, updates and cancellations to the appropriate person in a timely manner
- Answering general questions about our services, programs, training methods, etc.
- Respond to missed calls and voicemails within a timely manner
Weekly:
- Gather all company numbers and discuss with owner (sales, demos, leads)
- Meet with manager to review last week and plan present week
- Send out weekly hunting report highlighting the successes of the team
- Send out weekly schedule of events to team
- Send requests for a online review/referral (3 Weeks after group class)
- Inventory supplies and sales items - make sure we are ordering items with enough lead time to maintain enough inventory (example: enough collars in each location)
- Research marketing events and community involvement opportunities for various businesses
Monthly:
- Review team and personal goals with owner plan monthly personal and team goals with owner and manager
- Send out team monthly goals
- Connecting with referral partners (various businesses)
