About the Role

Are you a Jane or Jack of all trades who thrives on variety and loves a workday that looks different every day? If you enjoy staying organized, jumping in wherever needed, and balancing hands-on tasks with administrative responsibilities, this could be the perfect opportunity for you!

We’re seeking a versatile, proactive, and detail-oriented Office & Property Operations Coordinator to support a commercial property, a small law firm, and a technology business throughout downtown Phoenix. This unique role offers a blend of independence, variety, and flexibility, with responsibilities ranging from welcoming prospective tenants and coordinating vendors to handling administrative projects, processing payments, and assisting with legal filings.

If you’re resourceful, adaptable, and enjoy being the go-to person who keeps things running smoothly, we’d love to hear from you!

Core Responsibilities

  • Administrative Support: Provide day-to-day administrative and clerical support across a commercial property, small law firm, and technology business.
  • Mail & Errands: Receive and distribute packages and mail at various downtown Phoenix locations, run local errands, and complete occasional court filings.
  • Payment Processing: Deposit checks biweekly and assist with processing payments and other financial administrative tasks.
  • Tenant Relations: Welcome prospective tenants, maintain a professional environment, and respond to tenant questions and requests in a timely, courteous manner.
  • Office Management: Monitor office supplies, maintain organized workspaces and records, and assist with general office operations.
  • Vendor & Project Coordination: Coordinate vendor support, follow up on service requests, and monitor projects to help ensure tasks are completed efficiently.
  • Data Entry & Records: Review and enter data, maintain accurate records, and keep digital and physical filing systems organized using Microsoft Office tools.
  • Legal Administrative Support: Assist with legal documentation and filings, including traveling to the courthouse to submit documents as needed.
  • Scheduling & Coordination: Schedule appointments, coordinate meetings, and assist with travel arrangements and itineraries.
  • Document Preparation: Proofread documents, prepare reports, manage correspondence, and complete other clerical tasks with a strong attention to detail.

Qualifications & Skills

  • Previous experience in an office administration, office management, administrative assistant, or similar role.
  • Strong computer skills and proficiency with Microsoft Office applications.
  • Excellent organizational and time-management skills, with the ability to prioritize competing tasks and meet deadlines.
  • Strong attention to detail and experience with data entry, filing, and proofreading documents.
  • Familiarity with general office procedures, professional phone etiquette, and administrative best practices.
  • Excellent written and verbal communication skills.
  • A friendly, professional, and customer-focused approach when interacting with tenants, vendors, colleagues, and visitors.
  • A self-starter mentality with the ability to work independently, take initiative, and adapt to changing priorities.
  • Reliable transportation and the ability to travel between downtown Phoenix locations and the courthouse as needed.

Company Benefits & Perks

  • Flexible working hours.
  • Professional development reimbursement.
  • Paid holidays.
  • Two weeks of paid time off.
  • Eligibility to participate in a 401(k) and pension plan after the applicable vesting period.

The Ideal Candidate

You’re someone who enjoys wearing many hats and takes pride in being dependable, resourceful, and organized. You’re comfortable switching gears throughout the day, whether that means helping a prospective tenant, coordinating a vendor, making a bank deposit, or tackling an administrative project. You bring a positive attitude, good judgment, and a willingness to pitch in wherever you’re needed.

If you enjoy variety, value flexibility, and love being the person who keeps everything moving, this could be the role for you!
