Office Assistant/Scheduler
Office Assistant/Scheduler
Our Client - Financial Services company
- Remote
Job description
SOMERSET ADVISORY
Executive Scheduler
About the Role
Somerset Advisory is a fee-only fiduciary RIA built on deep client relationships and rigorous planning. We operate across the southeast with offices in three markets — Charlottesville, Birmingham, Beaufort and we run lean by design. Every person on our team carries real responsibility and exercises real judgment.
The Executive Scheduler works directly with Somerset's two founding partners to manage calendars, coordinate communications, and keep the operational rhythm of the firm moving. This is a role for someone who reads between the lines, anticipates rather than reacts, and treats relationships — internal and external — with the same care our advisors bring to clients.
Our Culture
Somerset is organized around four commitments that shape how we work as much as how we advise:
Always Relational
We build practices around people, not products. The same is true internally. We care about each other as people, not just as contributors, and that orientation shows up in how we communicate, how we make decisions, and how we handle hard seasons.
Thoughtfully Organic
Growth at Somerset is intentional. We expand into markets because the relationships are there and the fit is right. We hire the same way. We are not interested in scale for its own sake.
Unapologetically Active
We manage portfolios actively and we engage our clients actively. We believe fiduciary planning requires presence and participation. The same standard applies to the people who support the work.
Actually Comprehensive
Our planning framework, CLARITIES, goes deeper than investment management. We hold the full picture of a client's financial life. The people who work here tend to be naturally curious, broad-thinking, and comfortable with complexity.
We hold team retreats, celebrate milestones, and invest in the humans who make this firm what it is. If you're the kind of person who takes pride in being the quiet architecture behind something excellent, you will find good company here.
Core Responsibilities
• Manage complex calendars for two founding partners, including scheduling across time zones and multiple offices
• Read context from emails, conversations, and meeting notes to anticipate scheduling needs without being explicitly directed
• Serve as a first point of contact for clients, prospective clients, and team members with warmth and professional discretion
• Coordinate logistics for internal meetings, team travel, and client-facing events
• Enter and maintain data in the firm's CRM based on conversations, emails, and meeting outcomes
• Draft or relay communications on behalf of the principals when appropriate
• Support broader operational needs as the firm grows into new markets
Qualifications and Skills
• Prior experience in an executive scheduling, administrative, or client-facing coordination role
• Demonstrated ability to manage competing priorities with composure and sound judgment
• Strong written communication — clear, warm, and precise
• Comfort with CRM platforms, calendar tools, and standard business communication software
• High emotional intelligence; you read the room and calibrate accordingly
• Discretion with confidential client and business information
• Financial services experience is a plus but not required; curiosity about the industry is
Location
We prefer candidates who live near one of our offices: Charlottesville VA, Birmingham AL, Beaufort SC, or in one of our growth markets: Nashville TN, Palm Beach FL, Charleston SC, or Jackson Hole WY. This role may be remote or hybrid depending on location and fit.
What We Offer
• Competitive compensation commensurate with experience
• Team retreats — we invest in gathering and in each other
• A culture that values judgment over compliance and relationships over transactions
• The opportunity to be part of a firm at an intentional inflection point, with room to grow as the role grows
Somerset Advisory is an equal opportunity employer. We are committed to building a team that reflects the communities we serve.
