Job description

A partner of The Mom Project in the automotive industry is seeking a contract Office Coordinator to help support their business needs.



Responsibilities:

  • Process field scrap documents
  • Input layered audits into the weekly tracker and employee communication tracker
  • Create and maintain supervisor and employee files
  • Collect and distribute mail, answer phone calls, and direct messages as required
  • Process FedEx dealer documents and deliver on the plant floor
  • Review and process Mark Outs for proper completion
  • Update daily huddle slide decks
  • Process shipper requests
  • Work inbound TWIs and process manual ASNs (Advanced Shipping Notices / Inbound Purchase Orders)
  • Manage and process X-Transfer requests to other facilities
  • Respond to RFIs and Field Wires and create PC82 to ship parts when requested
  • Review and update Scrap and VPI reports as needed
  • Research and correct SCAT Tag issues
  • Verify location setups in IIPAA and make pallet moves or adjustments
  • Investigate vendor inventory issues, identify countermeasures, and ensure financial closure for customers
  • Calculate and post Paragraph 71 overtime equalization reports
  • Post local seniority lists and notifications throughout the facility
  • Distribute weekly SCAT Tag reports
  • Create and distribute monthly zero-claim quality awards
  • Record PSRB meeting minutes and post them on Level II BPD boards
  • Post weekly seniority reports
  • Audit No Blip-JIT to Flex Chart compliance
  • Create file folders and perform general filing
  • Send FedEx letters to employees (requires FedEx system access)
  • Monitor and fulfill stationary supply requests
  • Process SAP requests (requires set-up as Purchaser)
  • Maintain and distribute salaried organizational charts
  • Assist leadership team members and complete ILM requirements as needed
  • File transportation paperwork, such as bills of lading
  • Maintain and utilize administrative tools to support pull systems
  • Post signage on bulletin boards throughout the facility
  • Adapt to ongoing projects within the facility


Skills and Qualifications:

  • Strong organizational and filing system skills
  • Computer literacy with the ability to learn inventory systems and SAP
  • Microsoft Office Suite experience – Outlook experience
  • Ordering supplies/inventory tracking experience
  • Familiar with manufacturing facilities and working in this environment
  • Proficiency with Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
  • Strong communication and customer service skills
  • Ability to multitask and adapt to shifting project priorities


Hours and Location:

  • Monday - Friday, 40 hours/week
  • On-site in Memphis, TN
