Job description

Our customer is a leading global media and entertainment company that creates and distributes a large portfolio of content and brands across television, film, and streaming and is available in over 200 countries and territories and over 45 languages. Headquartered in New York, NY with more than 30 office locations in the United States.


Our Customer is seeking an Office Coordinator on a contract basis to support their business needs. This role is on-site in Burbank, CA, as it requires hands-on coordination of department operations, in-person support for events, and access to on-lot facilities.


This role is the backbone of the department, providing organizational and administrative support that enables the team to deliver world-class events for the organization. This role manages daily department operations, serves as the first point of contact for internal and external inquiries, and ensures smooth coordination across multiple stakeholders. By streamlining processes and improving alignment, the Office Coordinator helps the team focus on delivering experiences that embody their values and storytelling vision.



Responsibilities:

  • Manage the special events phone line and respond to inquiries in a timely and professional manner
  • Coordinate department orders, including snacks, event inventory, supplies, and event-specific needs
  • Support scheduling and logistics for team meetings, one-on-ones, and executive meetings
  • Build and maintain high-quality presentations and communication materials
  • Serve as a central point of contact to improve team alignment, communication, and workflow efficiency


Skills and Qualifications:

  • 3+ years of administrative or coordination experience in a fast-paced environment
  • Experience in events, hospitality, or entertainment industries
  • Ability to work effectively in high-pressure, live-event environments and adapt quickly to changes
  • Understanding of union and non-union work environments and vendor/staffing practices
  • Experience managing executive calendars and scheduling
  • Proficiency in Microsoft Office Suite and presentation tools such as PowerPoint and Google Slides
  • Strong written and verbal communication skills
  • Experience supporting large-scale events or production environments
