Our client is a mental health and medical outpatient private practice, located in the North Center neighborhood of Chicago (60613), just off of the Brown Line! They are looking to add an Operations Manager to their team. The ideal candidate will be a strong problem solver with familiarity of healthcare billing practices and operational management. Also, the candidate will be extremely detail oriented, creative, energetic, curious, and born to multitask! This is a salary position.

Core responsibilities

Operations Management:

  1. Manage client intake and scheduling processes to ensure efficient coordination with providers.
  2. Develop, implement, and enforce operational policies and procedures; assist with onboarding.
  3. Manage administrative tasks for 1 executive and a team of 5. Work closely with clinical staff to ensure smooth operations and adherence to practice protocols.
  4. Create systems that support practice scaling and operational effectiveness.
  5. Marketing and promotion: assist with marketing and promotion of new client leads. Manage and operate a working system of managing new leads, following up with prospective clients, and calculate/manage conversion rates as new leads come in.
  6. Handle requests and queries appropriately
  7. Produce reports, presentations, and briefs as directed
  8. Manage any facility needs

Staff Coordination/HR Operations:

  1. Supervise staff, providing training, and support where needed.
  2. Collaborate with clinicians to streamline workflows and ensure seamless operations.
  3. Cultivate a positive, team-oriented work environment that drives high performance.
  4. Assist with building company culture, leading weekly team meetings, scheduling company outings, managing company promotions, etc.

Revenue Cycle Management:
**The below skills can be taught if candidate is not completely familiar with medical billing.

  1. Oversee the revenue cycle, from patient registration through to final payment.
  2. Verify insurance coverage and patient benefits before services. They work with three main insurers.
  3. Ensure claims are submitted in compliance with payer requirements.
  4. Follow up on outstanding claims and resolve denials or discrepancies.
  5. Collaborate with healthcare providers to gather necessary documentation for claim submissions.
  6. Maintain accurate records of transactions and communications.
  7. Provide responsive and professional assistance to patient billing inquiries.
  8. Continuously optimize processes to enhance efficiency and revenue. Manage Google Sheets related to sent claims, paid claims, resubmitted claims, etc.

Qualifications/Skills

  1. Experience as an executive administrative assistant or Office/Operations Manager.
  2. Familiarity or willingness to learn revenue cycle management and medical billing.
  3. Familiarity or willingness to learn healthcare regulations, billing codes (CPT, ICD-10), and billing software.
  4. Excellent analytical skills with a keen eye for detail and accuracy in data entry.
  5. Strong communication skills for effective interaction with patients, providers, and team members.
  6. Ability to work both independently and collaboratively in a fast-paced environment.
