We are seeking a Project Coordinator on a contract basis to help support their ongoing business needs. This role is 100% remote - Central or EST time zone preferred.


The Onboarding Coordinator will provide administrative and project coordination support to the Onboarding Solutions Team under the Property Management business. This role will focus on supporting the onboarding process for new and transition hires in Retail, Office, and Industrial Property Management while ensuring best practices are followed. The Onboarding Coordinator will also act as a resource for new hires and provide general project support across the team.


32 hours per week (some weeks may be 40 hours)



Responsibilities:

  • Assist in coordinating schedules, deadlines, and deliverables across multiple projects.
  • Support the Onboarding Lead in managing all administrative logistics for onboarding new and transition hires.
  • Maintain and update onboarding and training materials in partnership with the Training Team and discipline leads.
  • Act as a resource to new hires for ongoing assistance after onboarding is complete.
  • Manage daily workflow for new hires in Smartsheet.
  • Prepare documentation, reports, and planning materials as needed.
  • Attend and support client and staff meetings related to onboarding.
  • Collaborate with team peers and internal SMEs to ensure consistent standards and compliance across the business.
  • Track and monitor project progress, ensuring deadlines are met and client needs are addressed.
  • Coordinate client support efforts and assist with reporting and data analysis.
  • Support the firm’s philosophies, standards, and strategies across Property Management.


Qualifications

  • Bachelor’s degree in a business-related or technical field preferred.
  • Previous project coordination or onboarding experience required.
  • Proficiency in Smartsheet and Microsoft Office Suite (PowerPoint, Word, Excel, Outlook).
  • Experience using virtual platforms such as Teams, WebEx, or Zoom.
  • Knowledge of commercial property management is a plus but not required.
  • Strong oral and written communication skills.
  • Ability to work independently and within a team environment.
  • Strong follow-up and follow-through abilities with a focus on meeting deadlines.
  • Excellent time management, prioritization, and organizational skills.
  • Strong problem-solving ability and comfort in a fast-paced, changing environment.
  • Ability to analyze and report data in a clear, concise manner.
  • Reliable, punctual, and proactive with a forward-thinking mindset.
