We are seeking an Operations and Registration Support Coordinator on a contract basis to support our Customer’s business needs. This role is on-site in Chicago, IL.
Please note that this position will require being on-site in Chicago for the Health Innovation Summit from Sunday, September 27 through Wednesday, September 30, 2026.
Responsibilities:
- Provide administrative and operational support for the Health Innovation Summit
- Manage Summit invitation lists, registration tracking, and attendee records
- Coordinate invitation outreach and follow-up activities with internal teams
- Maintain accurate registration, attendance, and cancellation records across multiple tracking systems
- Reconcile data across spreadsheets, trackers, and other information sources to ensure accuracy
- Support the transition from CRM to alternative tracking processes for invitation and registration management
- Prepare reports on invitation status, registrations, attendance, and outreach activities
- Monitor registration progress and proactively identify discrepancies or missing information
- Coordinate day-to-day operational activities to support successful event execution
- Maintain organized documentation and project trackers across multiple workstreams
- Collaborate with cross-functional teams to ensure timely communication and operational alignment
- Provide additional administrative and operational support as needed
Skills and Qualifications:
- Bachelor's degree preferred
- 2+ years of experience in administrative support, event operations, project coordination, or a related role
- Experience managing registrations, invitations, or event operations
- Strong organizational skills with exceptional attention to detail
- Experience maintaining complex spreadsheets, trackers, and operational documentation
- Strong data reconciliation and reporting skills
- Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint
- Experience working with CRM systems and data management processes
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and ability to work independently
- Experience collaborating with cross-functional teams to support operational initiatives
