Job description
We are an award-winning, boutique firm located in downtown Palo Alto. We are hiring a Part-Time Operations Associate to work a hybrid schedule in Palo Alto, CA. This is a contract to hire position. This position reports directly to the owner of the firm, who is a mother of three. Hours are flexible.
The duties consist of the following:
- Printing, scanning, and mailing applications to the Federal government;
- Checking applications against checklists prior to mailing;
- Uploading scanned applications to client management system;
- Updating client management system as needed;
- Communicating with clients on phone, email or through management system, as necessary;
- Assisting with marketing tasks, such as updating website, designing newsletter, assisting with various social media and branding tasks;
- Creating and updating our internal company collaboration hub;
- Maintaining office supplies;
- Managing billing email account and related bookkeeping tasks;
- Performing other related duties to support the law firm; and
- Assisting the owner with various management tasks;
Requirements and Skills:
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Trustworthy.
- Strong reading, writing, and spoken English required.
Wage is $40/hr. Current need dictates approximately ~20 hours per week. There is opportunity for growth. Background search will be conducted in accordance with California law.
