Job description

Role Details

  • Must be local to San Mateo, CA - occasional on-site requirement (~1x per month)
  • $75-$90/hr
  • 10 hrs/wk

Core Responsibilities

  • Executive Support
    • Manage founders’ calendars — scheduling, prioritizing, and keeping things running smoothly
  • Team Operations & Event Support
    • Coordinate team offsites and virtual events
    • Schedule interviews with candidates and team members
    • Book travel logistics as needed
  • Office Logistics (Remote Support for Onsite Days)
    • Manage WeWork desk and room bookings
    • Order lunch for team onsite days or events
  • Contractor Payments & Payroll Support
    • Manage payments to external contractors and maintain organized records
  • Benefits Administration
    • Support coordination of team benefits, including enrollments and renewals

Qualifications/Skills

  • 4+ years of experience in operations, executive support, or administrative coordination
  • Highly organized, detail-oriented, and self-directed
  • Excellent communication skills — written and verbal
  • Comfortable using tools like Google Calendar, Slack, Notion, and Zoom
  • Discreet and trustworthy with confidential information
  • Able to manage shifting priorities and anticipate team needs
