Job description

This part-time, remote role is ONLY for CA-based candidates.

About Us & Why Join

We create medical spaces that elevate performance, presence, and purpose. We partner with visionary medical leaders to design environments that align with their mission, strengthen their operations, and inspire trust, healing, and growth. Our work goes beyond aesthetics. We design with intention, strategy, and long-term impact in mind. Every space is an opportunity to bring coherence between vision, leadership, and experience.

By joining our team, you become part of a purpose-driven team committed to awakened leadership, operational excellence, and meaningful impact. You will help shape not only transformational spaces, but the systems and standards that allow our clients and our team to grow with clarity and integrity.

Role Overview

At our company, design creates impact. Our operations must do the same. The Operations Lead owns the company's operational foundation, ensuring every project is delivered with excellence, alignment, and integrity. This role protects timelines, margins, and client experience while strengthening systems that allow our CEO and Creative Director to focus on vision, growth, and awakened leadership. You bring calm authority to complexity. You understand the construction and interior design lifecycle deeply, and you know how to balance creative excellence with operational discipline. Your leadership ensures we scale without losing coherence, quality, or purpose.

Responsibilities & Duties

  • Own the operational heartbeat of all active projects, ensuring they move forward with clarity, discipline, and excellence.
  • Protect timelines, budgets, and margins so we scale with integrity, coherence, and harmony.
  • Step in with calm authority when client concerns arise, restoring alignment and trust.
  • Oversee coordination between design, consultants, and construction teams to ensure seamless execution.
  • Anticipate risks early and take decisive action before they impact experience or performance.
  • Strengthen and refine our systems so growth feels intentional and sustainable.
  • Maintain healthy team capacity and accountability, and support performance.
  • Lead weekly operational rhythms and provide clear visibility into project and business health.
  • Build forecasting clarity around revenue, workload, and operational capacity.
  • Create the structure that allows our CEO and Creative Director to focus on vision, impact, and awakened leadership.
  • Develop project leads into strong, accountable operators who take ownership with confidence.

Key Performance Indicators (KPIs)

  • Projects delivered on time and in alignment with the approved scope
  • Healthy project margins and disciplined change management
  • Clear and accurate forecasting of revenue and project capacity
  • Reduced day-to-day operational reliance on the CEO and Creative Director
  • Strong client satisfaction and confident resolution of escalations
  • Minimal schedule drift across active projects
  • Timely and accurate receivables management
  • Continuous improvement in workflow clarity and operational efficiency
  • Balanced team capacity with high engagement and accountability

What We’re Looking For

  • 10+ years of operational leadership within an interior design, architecture, or construction environment.
  • Deep understanding of the full design-to-construction journey, from planning and permitting to build-out and delivery.
  • Proven ability to oversee multiple projects while protecting timelines, margins, and client experience.
  • Strong financial awareness with confidence in managing budgets, forecasting, and receivables.
  • A decisive leader who operates independently, strengthens accountability, and elevates team performance.
  • Someone who sees systems as a tool for harmony, not control, and enjoys bringing clarity to complexity.
  • Comfortable in a luxury client environment with polished communication and calm authority.
  • Tech-fluent and experienced with project management and CRM platforms.
  • Available during PST business hours and fully present in weekly leadership rhythms.
  • Deep alignment with our mission to make an impact through awakened leadership and intentional design.

All applicants applying for U.S. job openings must be legally authorized to work in the United States and are required to have U.S. residency at the time of application.
