Operations Manager (Part-Time, In Person)

Hours: Monday–Friday | 9:00 AM–2:00 PM (Part-Time, In Office)

Modern Class is a boutique educational company specializing in educational therapy, executive functioning coaching, academic tutoring, and individualized learning support for students in grades K–12.


Position Overview

The Operations Manager will oversee and support administrative, bookkeeping, operational, and light HR tasks to ensure Modern Class runs smoothly and efficiently. This role requires someone who is exceptionally organized, tech-savvy, detail-oriented, and comfortable balancing financial responsibilities with people-focused and executive support tasks.


Core Responsibilities

Bookkeeping & Financial Operations

  • Manage bookkeeping tasks using QuickBooks
  • Process and oversee payroll
  • Generate and manage invoices
  • Categorize expenses accurately
  • Organize and file receipts and financial documentation
  • Maintain accurate financial records and assist with expense tracking (within Quickbooks)
  • Support account reconciliation and financial organization (within Quickbooks)
  • Ensure bookkeeping systems remain organized and up to date (within Quickbooks)


HR & Team Operations

  • Assist with onboarding new tutors and team members
  • Help manage onboarding paperwork and compliance documents
  • Track and maintain PTO and staff records
  • Support hiring and administrative HR processes
  • Assist with maintaining employee files and organizational systems
  • Help ensure team members complete onboarding requirements and trainings


Family & Administrative Support

  • Communicate professionally with families as needed
  • Assist with scheduling and operational coordination
  • Respond to and organize emails
  • Categorize and maintain paperwork and digital files
  • Support day-to-day office operations and administrative systems
  • Help maintain an organized and welcoming office environment


Qualifications

Required Skills & Experience:

  • Strong experience with QuickBooks and bookkeeping
  • Experience processing payroll and invoicing
  • Knowledge of expense categorization, receipt filing, and financial organization
  • Excellent organizational and time-management skills
  • Exceptional attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple responsibilities and shifting priorities
  • Experience with Tutor Bird or working within an educational platform is a bonus

Preferred Experience:

  • Experience in education is preferred, but not necessary
  • Familiarity with HR or onboarding processes
  • Previous operations, office management, or executive assistant experience
