Our Customer is a pharmaceutical company headquartered in Tokyo, Osaka and Naruto, Japan. Their mission is to create new products for better health worldwide and they are dedicated to finding unconventional solutions for complex, underserved medical needs, whether we are developing new compounds at one of our research facilities in the United States, Europe, Japan, and beyond; or collaborating with another company to develop innovative therapies.
We are seeking a Strategic Operations Specialist, Pharmaceuticals on a contract basis to assist our Customer with their ongoing business needs. This role will report to the People & Business Services (PBS) Chief of Staff Office, supporting strategic operations and executive communications initiatives. This individual will support a wide range of initiatives, both planned and ad-hoc, in managing operationally, story building, socializing, project management, and acting as a creative consultant.
The PBS Strategic Operations Specialist will support deck development for Executive Leadership Team and Board of Directors meetings, including management of the timelines, collecting information from HR Centers of Excellence (COEs) to input into these decks, and coordinating with Communications and external vendors to have decks designed. This consultant will need to be both planful for upcoming activities, but also agile in their ability to support ad-hoc requests on a very short timeline.
This candidate will support activities related to Global HR and Affiliate operations, including coordination, slide development and management of timelines.
This is a hybrid role, onsite expectation may be a few times a month as needed, which travel is not reimbursable.
General Duties / Expectations of Role:
- Mainly supports the Strategy and Operations function in a wide range of responsibilities including but not limited to: PowerPoint deck creation for all executive leadership meetings
- Scheduling of meetings, note taking, and coordination of strategic operations activities
- Building executive communication drafts, plans, and reports
- Project Management of executive leadership PowerPoint decks and Business as Usual (BAU) activities/events
- Coordination and/or creation of presentations deck for other PBS operations activities, such as monthly Department huddles
- General SME of PBS priorities to effectively coordinate with PBS COEs and PMs to align on strategy to receive required information to pull into decks on tight deadlines
- Storyboard high-level decks to ensure executive-level presentations have a narrative that's aligned with messaging from the VP of People & Business Services
- Identify and recommend areas to build process or create efficiencies to remove road blocks for function as needed
- Responsible for end to end submission and approval process for PBS communications in Veeva
- Regularly collaborate with the PBS Project Management Office (PMO), Change Communication team, and all PBS functions to further support the management of PBS priorities
Qualifications:
- Bachelors degree in Business, HR, Communications, or related field
- 6+ years experience in Internal Communications/storytelling
- Advanced knowledge of PowerPoint
- 6+ years experience working on projects, campaigns with various stakeholders
- Ability to effectively work within an ambiguous, fast paced environment
- Ability to prioritize quickly changing work to align with deadlines
- Strong verbal and written communications skills , especially with Executive Suite
Nice to Have:
- Graphic Design
- Familiarity with graphic design programs (e.g., Adobe Creative Suite)
- 3+ years of relevant work experience in pharma/biotechnology/life sciences
- 4+ years of relevant work experience in HR/ Management Consulting
- Experience in an Operations role
