About the Role

We are seeking a proactive and highly organized Operations Support Specialist to support our team with day-to-day operations, technical tasks, and event coordination. The ideal candidate is resourceful, detail-oriented, thrives working independently, is confident navigating Microsoft Office, and quickly picks up new programs and technologies with ease. If you enjoy staying ahead of needs and keeping things running smoothly, we’d love to meet you. This role supports the whole company, delivering white-glove service and acting as a point of contact for clients, while assisting our internal team with a wide range of tasks.


Key Responsibilities

  • Manage calendars, scheduling, and meeting coordination via Outlook with a high level of discretion and confidentiality
  • Make travel arrangements for team and faculty
  • Capture meeting notes and follow up with action items
  • Utilize strong Zoom capabilities to support virtual meetings and events
  • Maintain and organize files using Dropbox with a high degree of proficiency and accuracy
  • Provide excellent white glove customer service to our key stakeholders as a POC supporting our live-web streaming classes.
  • Support and track publication inventory
  • Provide support within the LMS as needed, including inputting Q&A content and building courses.
  • Prioritize multiple tasks and deadlines in a highly organized manner
  • Support the team with exhibits; potential travel 3–4 times annually
  • Take initiative to anticipate needs, problem-solve, and improve workflows
  • Collaborate with colleagues and contribute to a positive team environment
  • Follow through on tasks reliably while remaining flexible to shifting priorities
  • Other duties as assigned
