Legal Secretary—Litigation

Founded in 1970, we are a boutique law firm focusing on general civil litigation, municipal law, commercial and residential real estate, planning and zoning, and probate in lower Fairfield County and throughout Connecticut.

Job Description:

We are seeking an exceptional legal secretary with litigation experience. Responsibilities will include answering multiple phone lines, filing documents, and assisting attorneys in the transcription of correspondence, memoranda, court documents and project work. This position requires knowledge of civil court processes, including electronic filing procedures in state and federal courts (“efiling”). Our ideal candidate is responsible, well-organized, exhibits a positive attitude, and a willingness to help co-workers.

Responsibilities:

  • Provide administrative support to multiple attorneys
  • Transcribing and typing correspondence, memoranda, and other legal documents
  • Proofreading and ensuring quality of legal documents
  • Coordinating work through word processing, copying and messenger services for the prompt production and delivery of documents
  • Communication with Court Officials and opposing counsel on behalf of attorneys and clients
  • Document scanning and retrieval
  • Maintaining attorney calendars and scheduling appointments, depositions, and other obligations
  • Maintain organized files, including copies of all documents and correspondence
  • Schedule meetings, depositions, and appointments for attorneys including scheduling conference rooms, video-conferencing, court reporters, and mediations/arbitrations.
  • Process incoming and outgoing mail
  • Process check requests and expense reimbursements
  • Review and prepare new client matter forms
  • Respond to incoming telephone calls, transmit messages accurately and promptly
  • Assist with special project and other administrative tasks as requested by attorneys
  • Regularly check electronic court orders, motion calendars and timely mark motions for calendar calls
  • Obtain medical records from health care providers in accordance with State and Federal regulations

Qualifications

  • 2+ years legal experience as a Legal Secretary; knowledge of civil litigation required
  • Proficiency in Microsoft Office, including Word, Excel and Outlook
  • Experience with electronic filing in Connecticut Courts and ECF/Pacer
  • Experience with electronic filing in Connecticut Probate Courts or a willingness to learn
  • Well-developed interpersonal and client relation skills
  • Exceptional verbal and written communication skills required
  • Excellent organizational skills
  • Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere

Salary: $35,000-$40,000 per year, commensurate with experience
