We are seeking a Facilities Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in Miami, FL. This site is low-traffic, and the responsibilities would be very basic.
The Facilities Coordinator supports day-to-day workplace operations by ensuring the site is well-maintained, fully stocked, safe, and operating efficiently. This role partners closely with internal teams, external vendors, landlords, and service providers to deliver a high-quality workplace experience. The Facilities Coordinator also assists with vendor management, events, inspections, and adherence to operational standards.
The shift will be three 8-hour days: Tuesday, Wednesday, and Thursday (flexibility on hours).
Responsibilities:
Workplace Operations
- Stock and order office supplies to maintain proper inventory levels.
- Stock and order food and beverages for employee spaces, ensuring availability and freshness.
- Conduct regular walkthroughs to inspect equipment, identify issues, and escalate as needed.
- Maintain all premises in clean, orderly, and functional condition at all times.
Vendor & Contractor Coordination
- Create work orders and manage onsite vendors, contractors, and couriers.
- Assist in managing all contractors to ensure work is completed to required standards.
- Support procurement of vendors and services as needed.
- Build strong relationships with landlords, managing agents, and facility vendors.
Facilities Management & Compliance
- Conduct site inspections, safety assessments, audits, and building procedure checks.
- Assist in implementing property risk management programs and best-practice operations.
- Follow established escalation and incident reporting procedures.
- Support and track purchase orders, financial processes, monthly accruals, and finance trackers.
Event Support
- Host and coordinate monthly and quarterly onsite events.
- Partner with stakeholders to ensure successful setup, logistics, and execution.
Reporting & Performance
- Provide support for regular management reports and facilities projects.
- Help achieve Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets.
- Support disaster recovery and business continuity plan monitoring.
Qualifications
- Bachelor’s degree in a related field.
- Experience coordinating facility operations, vendor management, or building services.
- Ability to work independently and collaboratively with a small team.
- Strong verbal and written communication skills.
- Self-motivated, energetic, and confident with a strong customer service orientation.
- Capable of working in fast-paced environments and under pressure.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Clean driving record.
