About the Role

Our partner is seeking a detail-oriented, professional, and client-focused Administrative Assistant with prior experience directly supporting a Financial Advisor. This role is ideal for someone who has worked in a financial advisory, wealth management, or financial planning environment and understands the day-to-day administrative and client service needs of a Financial Advisor.

The successful candidate will be comfortable working directly with clients, handling confidential financial information, maintaining accurate records, and using technology and software commonly found in financial services. Prior experience as an administrative assistant, client service associate, or similar support role directly assisting a Financial Advisor is required.


Core Responsibilities
  • Provide day-to-day administrative and operational support directly to the Financial Advisor.
  • Serve as a professional and personable point of contact for clients, assisting with questions and immediate needs.
  • Support client service activities, including scheduling, correspondence, documentation, and follow-up.
  • Assist with preparing, organizing, and maintaining accurate client records and financial documentation.
  • Handle sensitive and confidential client information with a high level of discretion and professionalism.
  • Assist the Financial Advisor with day-to-day workflow, follow-up items, and administrative tasks.
  • Support client onboarding and ongoing account administration as needed.
  • Utilize financial technology and office software to support daily operations.
  • Assist with special projects and other administrative responsibilities as needed.
Qualifications & Skills
  • Required: Prior experience working directly as an assistant, administrative support professional, or client service professional for a Financial Advisor.
  • Experience in a wealth management, financial planning, investment advisory, or similar financial services environment is required.
  • Familiarity with financial technology (FinTech) applications and software commonly used in the financial services industry.
  • Experience with Microsoft Office/Microsoft 365 products.
  • Familiarity with platforms such as Wealthbox, Orion, or similar financial services applications is preferred.
  • Candidates do not need to have experience with every system listed; a willingness and ability to learn new technology is important.
  • Strong organizational and administrative skills with excellent attention to detail.
  • Professional, personable, and polished communication skills, particularly when interacting with clients.
  • Ability to handle confidential and sensitive client information responsibly.
  • Ability to work independently, prioritize tasks, and support multiple needs in a fast-paced environment.
  • Must be willing to complete a background check due to access to sensitive client personally identifiable information.

Important: Candidates without previous experience directly supporting a Financial Advisor will not be considered for this role.
