Job description

Title: Patient Intake Coordinator
Location: 100% Remote
Status: ~ 7 hrs/wk, ongoing 1099 contract
Hourly Range: $20 - $30/hr, commensurate with experience
Ideal Candidate: Has front desk experience working with a mental health or medical practice. Familiarity with Admirra and SimplePractice is preferred.

Our client is a warm and relational psychotherapy practice based in Las Angeles that specializes in working with anxiety and relationship issues. They are looking to add a Patient Intake Coordinator to their team! This candidate will understand the need for a kind phone persona while also guiding clients through the different specialties offered by the therapists in the practice.

Duties/Responsibilities:

  1. Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist, answer practice -related questions).
  2. Coordinate with clinicians on filling their schedules.
  3. Provide direction to clinicians and administration teams on best practices for improving scheduling process.
  4. Provide metrics on intake stats.
  5. Ability to identify areas where we need improvement in client intake process and initiate the improvement measures.
  6. Stay highly organized.
  7. High attention to detail and ability to prioritize various projects independently.
  8. Passion for working with others (being collaborative) and helping our team members grow and learn.
  9. Ability to handle and provide straight-forward feedback to the administrative team members.
  10. Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
  11. Ability to set goals and develop achievable timelines to hit them.
  12. Other duties as may be assigned.

Qualifications and Skills:

  1. Align with mission, vision, and values.
  2. Knowledge of our client experience goals and how to achieve client satisfaction.
  3. Be able to lead and manage client intake and scheduling.
  4. Experience with CRM systems, specifically Admirra
  5. Experience with an EHR system, specifically SimplePractice
  6. Must be punctual in reporting to work.
  7. Be organized and detail oriented.
  8. Be a team player.
  9. Be able to work independently on tasks assigned.
  10. Have strong written and verbal communication skills and strong interpersonal skills.
