Job Title: Payroll and Office Associate (Part-Time, Contract)

Hours: 30 hours per week

Schedule: 3 days in-office per week (with some flexibility)

Reports to: Head of Business Operations

Location: Main office - Pegasus School of Liberal Arts and Sciences, Dallas, TX

Position Overview

The Payroll and Office Associate plays a key role in ensuring the smooth and efficient operations of Pegasus’s administrative and financial functions. This position leads all payroll activities, supports basic accounting and bookkeeping functions, and provides general office and administrative support to staff and leadership.


This role is ideal for a detail-oriented, organized professional who thrives in a collaborative school environment and enjoys both independent work and team interaction.


This person will be processing and reporting payroll, but with their additional time will be supporting accounting functions, mostly AR and reconciliation process (AP is already handled in house). Public school payroll and accounting are extremely specialized. Having worked for and ISD or Charter school (in Texas) within the last 3-4 years is a HUGE plus. Unfortunately, Teaching experience does not serve as a qualifier in a role like this, but other experience with school finance (such as grants) could be an asset!


Key Responsibilities


Payroll Administration

  • Serve as the lead for all payroll activities, ensuring accuracy, timeliness, and compliance with all applicable regulations.
  • Process bi-weekly payroll for all staff, including salary adjustments, deductions, and reimbursements.
  • Maintain and update employee payroll records, timesheets, and attendance data.
  • Collaborate with Head of Operations and leadership on new hires, terminations, and benefit changes impacting payroll.
  • Prepare and submit payroll reports as required by local, state, and federal regulations.

Accounting and Financial Support

  • Assist with basic accounting functions such as data entry, invoice tracking, and account reconciliation.
  • Support accounts payable and receivable processes, ensuring timely processing and accurate records as needed.
  • Help prepare documentation for audits, financial reports, and grant compliance.

Office and Administrative Support

  • Provide general administrative and clerical support to school leadership and staff.
  • Assist with organizing files, maintaining supplies, and managing vendor communications.
  • Support coordination of staff schedules, meetings, and communications.
  • Ensure the office environment is professional, organized, and welcoming.


Qualifications Required:

  • Associate’s degree in Accounting, Business Administration, or related field (or equivalent experience).
  • Minimum of 2 years of experience in payroll and/or accounting support.
  • Strong attention to detail, confidentiality, and accuracy.
  • Excellent communication, organizational, and problem-solving skills.


Preferred:

  • Experience working in a school or nonprofit environment. Accounting experience is a plus.
  • Knowledge of state and federal payroll regulations.



Compensation and Employment Details

  • Type: Part-time, contract position (30 hours per week)
  • Schedule: Three days per week on-site at Pegasus School of Liberal Arts and Sciences
  • Compensation: Commensurate with experience and qualifications. Pay ranges from $20-30 per hour depending on experience.
  • Contract Term: Renewable annual contract
