Our Customer is a corporation that develops, manufactures, and markets robotic products designed to improve clinical outcomes of patients through minimally invasive surgery. Founded in 1995, their goal was to create innovative, robotic-assisted systems that help empower doctors and hospitals to make surgery less invasive than an open approach. Working with the top medical professionals, they continue to develop new, minimally invasive surgical platforms and future diagnostic tools to help solve complex healthcare challenges around the world.
We are seeking a Program and Portfolio Manager, Digital and Global Transformations on a contract basis to join the Project Management (PMO) Team. This team provides portfolio, program and project management excellence to prioritize, plan, and execute across business application and shared service projects, including third-party applications platforms used to enable the company's IT transformation initiatives. The right candidate is a technology and business quick study with a strategic mindset, able to creatively drive complex technical programs. This role is focused on the company's enterprise business systems. Projects will span across a broad range from ideation, and evaluation to implementation of new software systems, scale-up for product launches, system upgrades and facility expansions. This role is a hybrid setup with 3 days onsite and 2 days remote in Sunnyvale, CA.
What you’ll do:
- Report to the Senior Manager of Project and Portfolio Management and will lead projects focused on the majority of business process transformations on business applications and existing processes for example record to report, order to cash, quote to cash and procure to pay replacement or new product introduction
- Help develop and establish program and portfolio management best practices standards and processes
- Create metrics and dashboards to measure process efficiencies to validate results
- Drive program implementation by working closely with subject matter experts
- Lead and work with organizational cross-functional teams to ensure on-time, on-budget, quality initiatives that support the company's business and technology strategies
- Ensure solutions meet agreed quality criteria, address project issues and risks, and build trusted relationships between delivery teams and business partners
- Collaborate closely with project stakeholders, to understand their requirements, provide expert advice on effort estimates and overall project feasibility, secure appropriate resourcing from business and IT teams, ensure alignment of project with organizational objectives
- Develop strong working relationships with the business and technology teams to ensure overall program success
- Bring knowledge of both Waterfall and Agile Project Management methodologies, processes, and tools including scope management, schedule management, quality management, resource management, procurement, change management, risks and issues management
- Apply business domain and technical acumen to ramp up quickly on IT products, technologies, infrastructure, change management, development, and release management processes
- Portfolio Management Functions
- Conduct reviews monthly with senior business and IT executives, stakeholder committees, the steering committee, and other relevant bodies
- Validate and assess the project portfolio, execute change, and reprioritize as necessary to meet business needs
- Conduct regular meetings with functional senior executive bodies
- Inform them of any issues with the performance of individual projects within the portfolio
- Confirm that the use of resources and funding is on plan and highlight any variances
- Partner with business functions to create IT Roadmaps, and associated business cases, to drive short and long-term IT investment
- Project Management Functions:
- Partner with business PM to organize and lead core team and executive steering committee meetings, including status reports to the project sponsor and steering committee
- Drive resolution of constraints, conflicts and other challenges that could impact the timely and successful execution of projects
- Provide clear communication to the organization on project status, critical path, as well as potential areas of risk
- Create and manage project plans and assign tasks to team members
- Manage (including ensuring the quality of) project deliverables in line with the project plan:
- Kick-Off Presentation
- Detailed Project Schedule in MS Project/Smartsheet
- Project Budget vs. Actuals
- Business Blueprint
- Test Plan
- Training Plan
- Organization Change Management engagement – stakeholder analysis, communication plans, training material and end-user training, solution adoption
- Record, manage project issues and escalate when necessary, ensuring resolution on a timely basis.
- Ensure compliance with internal business and quality system requirements and to external regulatory standards
Must Haves:
- 10+ years of experience working across business and IT with strong program delivery experience will be key differentiators
- Exposure to large enterprise solutions like Workday, Salesforce, S/4 ERP and Data Warehouses (Snowflake) systems will be beneficial
- Big 4 Consulting experience desired
- Proven ability to lead, influence and work well at all levels of an organization and in a cross-functional team environment
- Strong communication and presentation skills
- Experience in managing partnerships with third-party system integrators, SAP Services, and other service providers in a project implementation
- Microsoft Office, Tableau, Smartsheet and JIRA experience
- Experience with supervising people desired
- Medical or Healthcare vertical experience preferred
Education:
- Bachelor’s degree required
- Master of Science (MS) or Master of Business Administration (MBA) preferred
- Certification in Project Management (PMP) or Scrum Master (CSM) desired
Hours & Location:
- M-F, 40 hours/week. This role is a hybrid setup with 3 days onsite and 2 days remote in Sunnyvale, CA.
