Job description

We are seeking a Program Coordinator on a contract basis to provide operational, administrative, and coordination support across cross-functional initiatives. In this role, you will help keep programs organized and running smoothly by managing schedules, tracking action items and deliverables, supporting communications, and maintaining documentation.This role is 100% remote with PST hours.


Responsibilities:

  • Build and verify attendee facesheets at volume for major events, including sourcing and validating bios, photos, and career details against CRM and public sources
  • Finalize and distribute meeting materials - formatting, PDF conversion, repository upload, and attachment to calendar invites
  • Track and triage inbound meeting and event requests for large conferences, maintaining a single source of truth for status
  • Support event logistics including venue and capacity coordination, RSVP tracking, transport, and vendor requirements
  • Own the end-to-end cadence for a recurring cross-functional executive review cycle, including workback plans, deadlines, and collection of pre-read materials
  • Prepare first-draft executive briefing materials for external meetings, including attendee profiles, background, and talking points; coordinate inputs from partner teams
  • Provide quality control on briefing materials before they reach the executive, and maintain templates and version control

Qualifications

  • Experience producing written materials for a senior executive audience, with strong research and synthesis skills
  • Experience working in enterprise technical organizations
