Job description

Each year, our Customer helps more than seven million students prepare for a successful transition to college through programs and services in college readiness and college success—including the SAT, the Advanced Placement Program, and BigFuture. The organization also serves the education community through research and advocacy on behalf of students, educators, and schools.

We are seeking a contract Project Management Analyst that has proven track record of managing "big, transformative projects", wide variety of stakeholders and work streams with agile methodologies and supply chain domain experience. Must have skills in SmartSheet, Jira, Google Sheets, Excel and PowerPoint. You will work closely with the AP program and our fulfillment vendor to support the transition of AP’s Paper Supply Chain to a new model – supporting activities to manage the overall program. This role is 100% remote in EST hours.


What You’ll Do:
  • Help to manage definition of scope and the implementation, for a large-scale business transformation initiative (50% of your time)
  • You will serve as a key driver to help with the definition and documentation of scope by project phase to enable alignment of internal and external stakeholders
  • Understand the AP value stream and how it aligns with the project implementation strategy
  • Support the company and vendor team leads with definition and review of tasks and key milestones by workstream
  • Work with cross functional teams to align schedules and work through dependencies and roadblocks
  • Manage milestones and project schedules for key aspects of the project
  • Help with the definition, documentation and management of a roadmap for the full implementation in 2026
  • Utilize tools such as Smartsheet or Jira/Confluence to maintain status reports, schedules and progress of deliverables
  • Work with vendors to understand progress of development, testing and implementation efforts across workstreams
  • Ensure coordination with other significant organizational efforts that impact the project
  • Coordinate and facilitate stakeholder meetings (30% of your time)
  • Provide PM support for set up and facilitation of project status meetings, process/requirements review sessions, and other required meetings, with cross functional project teams
  • Document outcomes of meetings with minutes and action items
  • Follow up with assignees of action items to ensure completion or resolution
  • Document and track risks and issues and work with stakeholders for mitigation or resolution
  • Manage project communications to various levels of the organization (20% of your time)
  • Support project-related reporting and communications (status reports, decks, schedules)
  • Work with the AP Program, Operations and other stakeholders to understand and communicate project progress
  • Communicate effectively across all stakeholder groups, including AP, Ops and Vendor as well as across organizational levels
  • Create project status reports and executive summaries as needed
  • Summarize detailed project progress into clear messaging for various audiences
    Must-haves:
    • BA/BS Degree or an equivalent combination of education and experience required
    • Minimum 3-5 years professional experience in project or program management
    • Experience working with stakeholders at multiple organizational levels
    • Expertise with Microsoft Office including Excel, and PowerPoint
    • Proficiency in Smartsheet and Jira
    • A track record of managing large system implementation or transformation projects with internal and external stakeholders and customers
    • Analytical thinking and structured problem-solving ability
    • Strong organization and prioritization skills
    • Strong written and oral communication skills
    • Ability to work with cross functional teams and forge good working relationships

    Preferred:
    • Agile or PMP certification, or strong experience working on Agile projects
    • Experience with supply chain management or fulfillment operations
    • Experience managing third party vendors
    • Experience in a high-volume data and transaction intensive processing operation
    • Knowledge of agile tools and concepts, and experience working in an agile environment
    • A working knowledge of data integration and specifications or requirements documents
    • Experience with Confluence or other industry standard project management tools
