We are seeking a Program Manager on a contract basis to support our Customer's business needs. This role is hybrid in Mountain View, CA.
Responsibilities:
- Assume primary responsibility for rebuilding and maintaining the Legal Operations team's project planning system within Smartsheet, ensuring a high level of rigor in tracking both active projects and the backlog.
- Synthesize large amounts of data from various sources to inform the design and structure of a new, interconnected Smartsheet environment that aligns with departmental strategic initiatives.
- Develop and implement a comprehensive suite of linked Smartsheet solutions, including sheets, reports, and dashboards, to effectively track project progress, timelines, and key performance indicators.
- Maintain the Smartsheet system on an ongoing basis, ensuring data integrity, accuracy, and optimal performance.
- Coordinate and schedule meetings related to legal operations projects, including preparing agendas, facilitating discussions, and documenting meeting minutes.
- Ensure all project-related activities are operating on schedule by proactively monitoring timelines, identifying potential roadblocks, and escalating issues as needed.
- Collaborate closely with the legal operations team and other stakeholders to understand their needs and translate them into effective Smartsheet solutions.
- Provide training and support to team members on the use of the new Smartsheet system and its functionalities, as needed.
- Document implemented Smartsheet solutions, including workflows, formulas, and integrations, to ensure knowledge transfer and maintainability.
- Continuously seek opportunities to optimize and improve the Smartsheet environment to enhance efficiency and support the evolving needs of the Legal Operations team.
Skills and Qualifications:
- A Bachelor's degree in Business Administration, Legal Studies, Information Technology, or a closely related field is preferred. However, in lieu of a degree, candidates with equivalent practical experience and demonstrable expertise in Smartsheet, including relevant certifications (e.g., Smartsheet Professional Certification), will be strongly considered
- Extensive Smartsheet Expertise: Demonstrated ability to design, build, and manage complex Smartsheet solutions, including the creation of interconnected sheets, dynamic reports, and insightful dashboards. Proven experience with Smartsheet's advanced features such as Control Center, Resource Management, Dynamic View, Data Shuttle, and WorkApps. Deep understanding of Smartsheet formulas, cross-sheet referencing, and robust automation capabilities to streamline workflows and improve efficiency. Experience integrating Smartsheet with other business applications, such as communication platforms and project management tools.
- Data Synthesis and Analytical Abilities: Strong track record of synthesizing large volumes of data from various sources, identifying key trends, and translating them into actionable insights within Smartsheet. Proficiency in utilizing Smartsheet's reporting and summary features, including the creation of pivot tables and custom reports to track strategic initiatives and backlogs.
- Project Management and Organizational Prowess: Solid understanding of project management principles and methodologies, with the ability to develop and maintain project plans, track progress, and ensure timely completion of tasks. Exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple priorities and tasks effectively in a fast-paced environment.
- Communication and Interpersonal Skills: Excellent written and verbal communication skills, with the ability to clearly articulate technical concepts to both technical and non-technical audiences. Proven ability to coordinate meetings, develop agendas, facilitate discussions, and document meeting minutes accurately. Strong collaborative skills and the ability to work effectively with cross-functional teams, including legal professionals, technical staff, and other stakeholders.
