Job description

Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.


Our Customer is looking for a Project Administrative Assistant on a contract basis to provide support for their Vendor Management System. This role is on-site in Milwaukee, WI.



Responsibilities:

  • Provide full project support, ranging from clerical activities (scheduling, meeting notes, task tracking) to higher-level project management functions.
  • Develop tools and templates to simplify project management processes, including budgeting tools, deliverable checklists, and workflow trackers.
  • Write, edit, and maintain project documentation such as Scope Definitions, Risk Assessments, Requirements Definitions, and RFPs.
  • Support change control and defect tracking, escalating issues when necessary.
  • Track program attendance and update documentation on roles, processes, and deliverables.
  • Build and deliver PowerPoint presentations, light reporting in Excel, and process updates for stakeholders.
  • Coordinate space requests and manage the event schedule using the reservation system.
  • Prioritize requests, align needs with available space, and independently resolve scheduling conflicts.
  • Provide superior customer service to internal and external guests, ensuring a positive experience.
  • Communicate event requirements to catering, facilities, AV, and security teams, and follow through to ensure requests are fulfilled.
  • Manage event logistics, including signage, Banquet Event Orders (BEOs), and coordination with support services.
  • Provide on-site support during large meetings and conferences, ensuring smooth set-up and execution.
  • Respond promptly and professionally to customer inquiries via email, phone, or in person, offering ideas and solutions as needed.


Skills and Qualifications:

  • 5+ years of experience in project coordination, event management, or related fields.
  • Strong organizational skills with proven ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite (Excel and PowerPoint required).
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively with cross-functional stakeholders.
  • Experience documenting processes and developing project management tools.
  • Customer service mindset with strong problem-solving skills.
