Job description
Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.
Our Customer is looking for a Project Administrative Assistant on a contract basis to help support their business needs. This role is on-site in Milwaukee, WI.
Responsibilities:
- Run programs and track attendance, update documentation on roles and processes, and provide on-site support
- Create PowerPoint presentations, take meeting notes, and track and document tasks
- Organize large meetings and conferences, including set-up and coordination with stakeholders
- Build and maintain project management tools such as templates, budgeting tools, and deliverable checklists
- Write or edit project documents, including scope definitions, risk assessments, requirements definitions, and requests for proposals
- Define and document project management processes and research issues as needed
- Manage change control and defect tracking when applicable
- Provide a full range of project support, from clerical activities such as scheduling to higher-level activities such as project management and budget support
- Develop and deliver light reports in Excel; maintain proficiency in spreadsheets and data management
- Prioritize requests, align needs with appropriate support, and resolve requests that fall outside of guidelines independently
- Deliver superior customer service to internal and external guests to create a positive experience
- Coordinate with catering, facilities, AV, and security teams to fulfill event requirements
- Ensure client requests align with space availability and negotiate adjustments directly with clients as needed
- Respond promptly to customer requests via email, phone, or in-person meetings; provide timely and professional suggestions and solutions
- Use event reservation systems to book and track events, including managing room signage systems
- Distribute Banquet Event Orders (BEO) to clients and support teams for coordinated event execution
Skills and Qualifications:
- 5+ years of experience in project support or project management frameworks
- Strong organizational and multitasking skills with attention to detail
- Proficiency in Microsoft Excel and the ability to create light reports
- Experience coordinating large meetings and events
- Excellent written and verbal communication skills
- Strong customer service orientation with the ability to build rapport
- Ability to work independently and resolve issues proactively
- Familiarity with event reservation systems and coordination of support services (catering, AV, facilities, security)
