Job Description: Project Coordinator (Part-Time)
Our Client is a content marketing agency that helps healthcare, science and nonprofit organizations inspire patients, doctors and donors. We’re looking for a superstar project coordinator to help our team – and our clients – thrive.
In this role, you’ll take the lead on administrative and project management tasks to keep large marketing and communications projects running smoothly. About the Role
Our projects include writing hundreds of pages for new hospital websites, developing fundraising campaigns for nonprofit organizations, and creating in-house magazines for scientific research institutes. Projects often require close cooperation between multiple people on our team and multiple client stakeholders. Projects also include dozens of tasks that must be completed in order and on time.
To make this as efficient as possible, we follow a clear project management methodology that includes standard processes for each type of project and uses project management software (Asana) to manage tasks and workflow. Still, all projects need to be actively managed and monitored by a team that’s 100% focused on getting them done efficiently. That’s where the project coordinator comes in. Core responsibilities include:
- Daily (M-F) monitoring of internal and external project management software and email inbox to support a one-business-day or less response time.
- Working closely with our project management director to intake new projects and identify unique challenges
- Using Asana to monitor tasks, move them through our process, and identify (and remove) potential roadblocks and delays
- Coordinating with writers and other members of our team to understand their bandwidth and availability; assigning tasks to them based on that availability
- Shepherding documents back and forth to clients for review and approval
- Scheduling client calls and meetings
- Providing regular status updates to our leadership team and clients
- Thinking critically about everything we do, and making suggestions on where we can get better
Qualifications
We’re looking for someone who:
- Has experience with Google suite, Zoom, Microsoft Word, and Asana.
- Is extremely detail-oriented
- Has excellent time-management and problem-solving skills
- Is self-motivated and thrives with minimal supervision
- Can manage multiple priorities under tight deadlines
- Has at least two years of administrative and/or project coordination experience
- Has a track record of providing exceptional customer service
- Is compassionate and prioritizes building quality relationships
- Is motivated to grow and learn

Job Types: Part-time, Contract
Pay: DOE Contractors submit their monthly invoices on the 1st, and we pay them on net 30 terms - so they receive payment by the end of the month.
Expected hours: 10 – 20 per week
