Job description

We are seeking a Project Coordinator on a contract basis to support core team operations, with emphasis on employee experience, internal communications, and administrative program logistics. This role partners closely with Business Operations Leads and cross-functional teams (People, Product, Engineering, Design, Finance). The ideal candidate is highly organized, proactive, and comfortable managing many moving pieces with clear communication and strong attention to detail. This role is on-site in Burlingame, CA (preferred) but can be 100% remote, PST hours.



Responsibilities:

  • Own operations and coordination for employee engagement and team experience programs including planning, scheduling, vendor coordination, tools, and follow-through
  • Draft clear and audience-appropriate internal communications including updates, announcements, and FAQs
  • Drive organization-wide programs and projects while tracking deliverables and keeping stakeholders informed
  • Compile and refine content for leadership presentations
  • Manage virtual events end-to-end including run-of-show, communications, execution support, and post-event reviews
  • Utilize AI tools to streamline workflows while maintaining accuracy and confidentiality
  • Oversee knowledge management systems to keep teams informed and connected


Skills and Qualifications:

  • Minimum of 5 years of experience in program coordination, operations, administrative program management, or similar roles
  • Strong written and verbal communication skills with ability to tailor messaging to different audiences
  • Strong organizational skills with high attention to detail and discretion handling sensitive information
  • Proven ability to manage multiple workstreams, deadlines, and dependencies independently
  • Experience with collaboration tools including documents, spreadsheets, presentations, and calendars
  • General knowledge and practical use of AI tools in workflows

Preferred:

  • Bachelor’s degree
  • Experience supporting teams in large, fast-paced organizations
  • Experience with virtual or in-person event logistics and execution
  • Experience creating presentation decks or light creative content such as basic video editing or simple graphics
  • Experience applying AI tools to improve operational efficiency
