They also offer a complete solution of software products and services to help real estate professionals serve their clients and grow their business in a digital world.
We are seeking a Project Manager on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Scottsdale, AZ.
This position will lead the end-to-end implementation of Jobvite as a new applicant tracking system (ATS). This is a fast-paced, high-visibility initiative without a formal vendor implementation team. The Project Manager will partner directly with the Head of Talent Attraction, HR, IT, and key business stakeholders to drive all phases of the rollout.
The ideal contractor is a hands-on, highly structured project manager with strong expertise in planning, risk and dependency management, stakeholder accountability, and execution follow-through. This individual is comfortable operating in ambiguous environments, can quickly understand complex HR and ATS integrations and data models, and is willing to take a hands-on approach to documenting processes, training materials, system configurations, and technical specifications.
Hours: 8 am - 4 pm
Responsibilities:
Project Leadership & Planning
- Own the overall Jobvite implementation plan, including scope, milestones, critical path, and success measures
- Facilitate project governance, including workstream meetings, cadence, agendas, decision logs, RAID logs, and clear RACI ownership
- Provide written and verbal status updates to the Head of Talent Attraction and executive sponsors
Risk, Issues & Dependencies
- Proactively identify risks, issues, and cross-functional roadblocks across HR, IT, security, integration partners, and hiring leaders
- Maintain a comprehensive RAID log with defined mitigation plans, owners, and timelines
- Escalate blockers with options and recommendations, not just problem statements
Integration & Data Model Ownership
- Partner with HRIS, IT, and vendors to define and document integration requirements between Jobvite and connected systems, including HRIS, background checks, assessments, reporting tools, and SSO
- Lead the design and implementation of parent/child data structures for recruiting data, including requisition hierarchies and job families
- Define long-term governance, ownership, and controls for maintaining data integrity
- Ensure data architecture supports reporting, compliance, and Talent Attraction operational needs
Configuration, Processes & Documentation
- Coordinate Jobvite configuration, including workflows, stages, templates, forms, permissions, notifications, offers, and approvals
- Partner with Talent Attraction to redesign recruiting processes from the current state to the future state aligned with the new ATS
- Develop and maintain high-quality documentation, including business requirements, functional specifications, process maps, SOPs, configuration workbooks, integration requirements, data flows, and cutover planning for legacy system transition
Training, Change & Adoption
- Develop and coordinate training materials for recruiters, hiring managers, and HR partners, including guides, job aids, and short-form learning assets
- Lead UAT planning and execution, including test scenarios, scripts, defect tracking, and formal sign-offs
- Partner with Talent Attraction and HR Communications to drive go-live readiness and change management strategy
Execution & Accountability
- Hold cross-functional teams accountable for deliverables, timelines, and decisions without formal authority
- Run focused project meetings with clear agendas, pre-reads, decision tracking, and follow-ups
- Track and manage action items to ensure completion and closure
- Maintain focus on go-live readiness, including cutover planning, data migration, communication, and support model
Skills and Qualifications:
- 3-5 years of project management experience, including HR technology or ATS implementations
- Experience leading complex multi-system HRIS/ATS integrations
- Strong project planning and dependency management skills
- Strong risk and issue management experience
- Demonstrated stakeholder management across HR, IT, and business leadership
- Proven ability to drive accountability in matrixed environments
- Experience creating business requirements, functional specs, process flows, SOPs, and training materials
- Ability to operate independently with limited vendor support
- Excellent written and verbal communication skills
Preferred Qualifications:
- Direct experience implementing Jobvite or other enterprise ATS platforms such as Greenhouse, Workday Recruiting, iCIMS, or Lever
- Experience working within Talent Acquisition and understanding the full recruiting lifecycle
- Experience designing hierarchical or parent/child data models and related governance
- Familiarity with data migration, data quality controls, and UAT best practices
- PMP, Scrum Master, or other project management certification
