Job description

Seeking an experienced Commercial Property Manager to manage 2 commercial buildings and perform the following duties:

1. Manage and coordinate property operations, maintenance, accounting duties, and other administrative functions

2. Develop and maintain professional tenant relations

3. Plan, schedule and coordinate general maintenance, major repairs, and the remodeling of tenant improvement construction projects

4. Inspect the property to ensure it is safe and to determine whether repairs and or preventative maintenance is required

5. Maintain records of property documents

6. Procurements. Purchase building maintenance supplies, tools, equipment, furniture

a. Ensure general and small job contracts are procured correctly and timely in accordance with OWNER’s policies and applicable federal regulations (including, but not limited to 2 CFR Part 200). This includes vendor registration, specifications, documents indicating comparison of quotes, executive contracts, quality inspections/controls of firms, etc.

b. Designate one person to be responsible as the Procurement Liaison, who will coordinate, gather, and submit copies of all required documents (including but not limited to bids, scopes of work, and independent cost estimates) to OWNER’s asset management representative for review and approval on each and every procurement initiated or handled by the Property Manager onsite.

c. Execute and renew services, on OWNER’s behalf. These services include, but are not limited to:

i. contracts for electricity, gas, telephone, water, cleaning, pest control, landscaping, office supplies, garbage and trash removal and other services in the ordinary course of business, and

ii. purchase all supplies and equipment which are necessary to maintain and operate the Property in a first-class condition.

d. All procurements shall be made in accordance with the applicable procurement policy, federal regulations (including but not limited to 2 CFR Part 200), and state law if state law applies.

e. Note: All contracts made pursuant to this section shall be terminable by OWNER without cause on no more than thirty (30) day notice unless otherwise approved in advance by OWNER. All expenses shall be charged to OWNER at no more than cost, and shall not at any time exceed fair market value as determined by either approval of OWNER or substantiated by quotes from arms'-length vendors.

f. The relevant contractual information from all procured contracts shall be entered into the contract administration database utilized by OWNER. Personnel at the property sites will be required to utilize this software.

g. When available and/or directed, use owner procured contracts for goods and services.

7. Inspect and manage the work of contractors, vendors, maintenance personnel, and agency staff

8. Solicit bids for maintenance contracts and construction projects

9. Participate in the selection of contractors/vendors

10. Participate in the preparation of financial statements and monthly reports

11. Comply will all agency policies, procedures, pertinent laws, and regulations including but not limited to; ADA, TDLR, and NFPA as documented locally and statewide

12. Develop and administer operating budgets

13. Assign and supervise the work of building personnel, maintenance, and staff administration

14. Compute escalation/operating expense reconciliations

15. Provide accounting duties including receivables, payables, rent collections

16. Building property tax management

17. Building insurance management

18. Perform contract management (janitorial, landscaping, elevator, security, fire alarm system, HVAC, access control, parking lot maintenance, pest control, window cleaning, trash removal, electric service, water/sewer service, phone service)

19. Conduct all aspects of tenant move-ins and build-outs

20. Receive and dispatch all maintenance requests and work orders from tenants.

21. Schedule all statutory inspections of the facility and equipment, and maintaining all current certifications

Requirements:

Must obtain QuickBooks Certification within 3 months of hire

Must provide 3 professional references (within last 2 years) supporting experience related to scope of work with: company name, contact person’s name, title, company address, telephone number, and email address
