We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Cambridge, MA.


The Property Associate supports onsite property operations by providing administrative, organizational, and accounting assistance for one or more buildings. This role requires strong organizational skills, the ability to work independently with minimal supervision, and comfort staying on track with multiple tasks. Experience with invoicing in Yardi is required. Commercial real estate experience is strongly preferred.



Responsibilities:

  • Process accounts payable by reviewing and coding invoices, including work within Yardi.
  • Support accounts receivable activities such as statement distribution, collection notices, and manual billing adjustments.
  • Track administrative expenses, monitor budgets, and identify cost-saving opportunities.
  • Manage documentation related to leases, ensuring accurate execution, distribution, and filing.
  • Track lease notification requirements to prevent missed deadlines.
  • Monitor email, phone lines, and work order systems, ensuring prompt and professional responses.
  • Maintain office organization, including mail distribution, file systems, and supply management.
  • Prepare general correspondence, memos, reports, and data updates as needed.
  • Maintain accurate physical and digital filing, contact databases, and department documentation.
  • Coordinate conference room reservations, meetings, events, and business travel.
  • Oversee building access requests and visitor/vendor coordination.
  • Track tenant and vendor certificates of insurance and ensure compliance with requirements.
  • Assist with audit preparation, file maintenance, and compliance activities.
  • Participate in tenant onboarding, orientation, move-in, and move-out coordination.
  • Manage access card activations/deactivations and maintain accurate logs.
  • Support the property team with property manuals, operating procedures, and administrative updates.
  • Maintain communication with maintenance, security, and building staff to ensure facility readiness.
  • Document property incidents requiring risk review and escalate appropriately.
  • Assist with vendor setup, W-9 collection, and contract preparation or tracking.
  • Support budget preparation, utility billing, and recurring financial reporting.
  • Provide general administrative support and perform additional duties as assigned.


Skills and Qualifications:

  • 2-3 years of experience in administrative support, property management, or commercial real estate (preferred).
  • Experience with invoicing in Yardi is required.
  • High school diploma required; bachelor’s degree preferred.
  • Strong organization skills with the ability to stay on track and manage multiple priorities.
  • Self-aware, independent worker who requires minimal supervision.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite; willingness to learn new software and systems.
  • Ability to interact professionally with tenants, vendors, and internal teams at all levels.
  • Strong attention to detail and accuracy.
  • Problem-solving mindset with the ability to adapt to changes or ambiguous situations.
  • Ability to calculate basic figures and percentages.
  • Ability to occasionally work flexible hours beyond the standard schedule.


Physical Requirements:

  • Ability to sit for extended periods and perform frequent standing, walking, reaching, bending, or kneeling.
  • Ability to lift up to 35 pounds.
  • Ability to access stairwells during emergencies.
  • Ability to read documents and operate computers and phones.
