We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Lynchburg, VA; on-site parking is free.


Schedule: Monday- Friday, 8:30 a.m. to 5:00 p.m. Some flexibility for evenings and weekends is required based on marketing event schedules.



Responsibilities:

  • Provide administrative support to the property team for one or multiple buildings
  • Coordinate document management related to lease execution, distribution, and filing
  • Monitor email, phone, and work order systems to ensure timely and professional responses
  • Maintain general office organization and orderly workspaces
  • Sort, organize, and distribute incoming mail, and prepare outgoing mail and packages
  • Prepare and distribute correspondence, memos, and reports
  • Update and maintain employee, client, and customer contact databases
  • Coordinate conference room reservations and scheduling
  • Assist in developing and maintaining property manuals, employee manuals, and contact information
  • Support engineering teams with recording and billing monthly utility meter readings and managing work orders as needed
  • Assist with vendor contract creation, execution, and tracking
  • Support marketing or specialty licensing tasks as directed
  • Provide general and ad hoc administrative support to the property team
  • Perform additional duties and tasks as assigned


Skills and Qualifications:

  • High school diploma required
  • Minimum of 1 year of experience in commercial real estate, property administration, office management, or a related field
  • Proficiency with Microsoft Office Suite and willingness to learn new systems and technologies
  • Strong written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities under pressure
  • Self-starter with the ability to work independently and collaboratively across teams
  • Ability to calculate figures and percentages accurately
  • Strong problem-solving skills with the ability to develop effective solutions
  • Comfort working in dynamic environments with changing priorities
  • Ability to work flexible hours as needed based on business requirements

Preferred Qualifications:

  • Associate degree or higher
  • Experience supporting marketing functions or specialty licensing
  • Experience working in on-site property or facilities environments


Physical Requirements:

  • Ability to sit for extended periods
  • Ability to stand, walk, reach, bend, kneel, crouch, or crawl as required
  • Ability to read screens and written documents
  • Ability to lift up to 35 pounds
  • Ability to use stairwells during emergencies
  • Ability to use a keyboard and computer for extended periods
  • Ability to hear, speak, and answer office telephone systems
