We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Melville, NY. Parking is free at the location.
The Property Associate (PA) is an administrative support role within a property management team. The role involves providing direct administrative support to Managers and handling various administrative tasks related to property management operations.
Responsibilities:
- Provide direct administrative support to managers
- Track and maintain certificates of insurance for tenants and contractors
- Maintain organized filing systems for property documents, including leases, legal correspondence, service contracts, reports, and payables
- Monitor and respond to emails consistently and professionally
- Prepare express mail packages and manage mailing-related office supplies
- Support compliance with management audit requirements
- Assist with budget preparation activities for assigned property operations
- Manage accounts payable tasks, including invoice entry, coding, and routing for approvals
- Collect and process vendor W-9 forms
- Print aged delinquency reports and send delinquency notices to tenants
- Prepare manual adjustment forms for miscellaneous tenant service requests
- Assist with accounts receivable processes as needed
- Provide customer service support to tenants, clients, contractors, and vendors
- Review and update tenant handbook documentation as needed
- Prepare tenant memos and correspondence as directed
- Coordinate tenant move-ins and move-outs, including required documentation and approvals
- Maintain and update tenant, employee, and contractor contact lists
- Perform additional duties as assigned by management
Skills and Qualifications:
- Associate or bachelor’s degree preferred, or equivalent combination of education and experience
- Minimum of 1 year of experience in administrative support or property management preferred
- Property management industry experience preferred
- Strong multitasking skills with the ability to work in a fast-paced, high-volume environment
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Willingness and ability to learn new software applications as required
- Flexibility to work extended hours when needed
