We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Melville, NY. Parking is free at the location.


The Property Associate (PA) is an administrative support role within a property management team. The role involves providing direct administrative support to Managers and handling various administrative tasks related to property management operations.



Responsibilities:

  • Provide direct administrative support to managers
  • Track and maintain certificates of insurance for tenants and contractors
  • Maintain organized filing systems for property documents, including leases, legal correspondence, service contracts, reports, and payables
  • Monitor and respond to emails consistently and professionally
  • Prepare express mail packages and manage mailing-related office supplies
  • Support compliance with management audit requirements
  • Assist with budget preparation activities for assigned property operations
  • Manage accounts payable tasks, including invoice entry, coding, and routing for approvals
  • Collect and process vendor W-9 forms
  • Print aged delinquency reports and send delinquency notices to tenants
  • Prepare manual adjustment forms for miscellaneous tenant service requests
  • Assist with accounts receivable processes as needed
  • Provide customer service support to tenants, clients, contractors, and vendors
  • Review and update tenant handbook documentation as needed
  • Prepare tenant memos and correspondence as directed
  • Coordinate tenant move-ins and move-outs, including required documentation and approvals
  • Maintain and update tenant, employee, and contractor contact lists
  • Perform additional duties as assigned by management


Skills and Qualifications:

  • Associate or bachelor’s degree preferred, or equivalent combination of education and experience
  • Minimum of 1 year of experience in administrative support or property management preferred
  • Property management industry experience preferred
  • Strong multitasking skills with the ability to work in a fast-paced, high-volume environment
  • Strong organizational skills and attention to detail
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Willingness and ability to learn new software applications as required
  • Flexibility to work extended hours when needed
