We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Melville, NY.
The Property Associate provides critical administrative and operational support to the property management team. This on-site role is responsible for assisting Managers with day-to-day administrative, accounting, and tenant-related functions to ensure smooth property operations and excellent client service. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Schedule: Monday–Friday, 8:30 a.m.–5:00 p.m.
Responsibilities:
Administrative Support
- Provide direct administrative support to property management team members.
- Track and maintain Certificates of Insurance (COI) for tenants and contractors.
- Maintain organized filing systems for leases, contracts, reports, payables, and correspondence.
- Prepare express mail packages and manage office supply needs for mailing and shipping.
- Ensure compliance with internal audit and reporting requirements.
- Assist with budget preparation and other management reporting activities.
Accounting Functions
- Process accounts payable by coding and entering invoices, routing for approvals, and ensuring timely payment.
- Collect and maintain vendor W-9 forms.
- Generate and review Aged Delinquency Reports, send tenant delinquency letters, and track follow-ups.
- Support accounts receivable tasks, including preparing manual adjustment forms for tenant service requests.
- Assist management with monthly financial reporting as needed.
Tenant Relations
- Deliver exceptional customer service to tenants, clients, contractors, and vendors.
- Coordinate tenant move-ins and move-outs, ensuring required authorizations and documentation are completed.
- Draft and distribute tenant memos and other correspondence as directed.
- Maintain accurate tenant, employee, and contractor contact information.
- Update and manage the Tenant Handbook as required.
Other Duties
- Assist with special projects or additional administrative responsibilities as assigned by management.
- Support compliance with company policies, property procedures, and local market requirements.
Qualifications
- Associate or Bachelor’s degree preferred (or equivalent combination of education and relevant experience).
- Minimum 1 year of administrative or property management support experience preferred.
- Experience in the Property Management or Real Estate industry is a strong plus.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to learn and use client-specific software applications.
- Excellent organizational, multitasking, and communication abilities.
- Detail-oriented with strong follow-through.
- Able to work flexible hours when needed, occasionally exceeding standard work hours.
- Customer-service mindset and collaborative team player.
