We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Melville, NY.
The Property Associate (PA) plays a vital role in supporting day-to-day property management operations across one or more commercial buildings. This on-site position involves a blend of administrative, accounting, and tenant support responsibilities to ensure smooth building operations and outstanding service to tenants, vendors, and internal teams.
Responsibilities:
Administrative & Tenant Support
- Manage phones, email, and work order systems, ensuring prompt, professional responses.
- Organize and maintain general office functions, including filing, mail distribution, and supply tracking.
- Prepare internal communications, memos, reports, and departmental materials.
- Coordinate conference room bookings, team events, travel arrangements, and visitor access.
- Assist with onboarding new tenants and managing move-in/move-out procedures.
- Track and manage access cards and certificates of insurance for tenants and contractors.
Lease & Compliance Coordination
- Support lease execution, document management, and deadline tracking.
- Monitor and ensure compliance with property audits, risk protocols, and insurance standards.
- Maintain accurate tenant and vendor contact databases and certification records.
Accounting & Financial Support
- Assist in processing accounts payable and receivable, including coding invoices and preparing bills.
- Track administrative expenses and support budget development and reporting.
- Help gather vendor W-9s, coordinate utility meter readings, and support vendor contract management.
Operations Support
- Maintain regular communication with maintenance, engineering, and security teams.
- Document incidents for risk management and ensure the cleanliness and safety of shared areas.
- Provide general and ad hoc support to property managers and building staff.
Skills and Qualifications:
- High school diploma required; Bachelor’s degree preferred.
- At least 1 year in commercial real estate, office management, or administrative support.
- Proficiency in Microsoft Office Suite; ability to learn new systems quickly.
- Strong communication and organization skills
- Detail-oriented and able to manage multiple projects
- Ability to work independently or in a team setting
- Comfortable adapting to change and making decisions with limited information
- Familiarity with basic accounting principles and reporting
Preferred:
- 0-2 years of experience in an administrative or operational support role
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook
- Excellent written and verbal communication skills
- Ability to prioritize tasks and manage time effectively
- Basic understanding of customer service principles
Physical Requirements:
- Regularly sit and work at a computer for extended periods.
- Frequently walk, stand, stoop, or kneel.
- Occasionally lift items up to 35 lbs.
- Ability to use stairwells and communicate clearly in person and over the phone.
