We are seeking a Property Associate (PM) on a contract basis to help support their ongoing business needs. This role is on-site in San Diego, CA.
The Property Associate ensures organizational excellence by providing administrative and accounting support to the property management team responsible for one or multiple commercial buildings. This role plays a key part in tenant relations, client support, and team operations while delivering superior customer service. The position is based on-site, with local market requirements varying.
Responsibilities:
Accounting Support
- Review and code invoices for accounts payable (A/P).
- Assist with accounts receivable (A/R), including billing, collections, and adjustments.
- Track administrative expenses, monitor budgets, and identify cost reduction opportunities.
Lease & Documentation
- Manage document execution, distribution, and filing.
- Track lease notifications to ensure deadlines and compliance.
- Assist in vendor contract creation, execution, and tracking.
Operations & Administration
- Manage phones, email, and work order systems with prompt, courteous responses.
- Organize and maintain both physical and digital filing systems.
- Sort, distribute, and prepare mail and correspondence.
- Coordinate meeting spaces, reservations, events, and travel logistics.
- Support audits, incident documentation, and compliance with risk management standards.
Tenant & Vendor Relations
- Participate in new tenant onboarding, move-in/move-out procedures, and orientations.
- Ensure contractor and tenant insurance certificates meet compliance requirements.
- Gather vendor W-9s and support new vendor setup.
- Provide ongoing tenant support to ensure satisfaction and service quality.
Facilities Support
- Coordinate access cards, visitor access, and building security protocols.
- Maintain communication with maintenance and security teams to ensure property cleanliness and safety.
- Support engineers with utility meter readings and related billing.
Qualifications
- High school diploma required.
- Bachelor’s degree (BA/BS) preferred.
- Minimum of 1 year of experience in commercial real estate, property management, or office administration.
- Proficiency with Microsoft Office Suite; openness to learning new software and technology.
- Strong written and verbal communication skills.
- Exceptional attention to detail and organizational ability.
- Self-starter with the capacity to manage multiple projects under pressure.
- Ability to work independently or collaboratively, engaging effectively with colleagues at all levels and across disciplines.
- Analytical ability to calculate figures and percentages.
- Problem-solving mindset, with the ability to develop constructive solutions to challenges.
- Adaptable to change and uncertainty; able to make decisions without complete information.
- Flexibility to occasionally work hours beyond a standard 40-hour work week.
Physical Requirements:
- Ability to sit for extended periods and frequently stand, walk, or reach.
- Occasional stooping, kneeling, crouching, or crawling.
- Capability to lift up to 35 lbs.
- Use of stairwells during emergencies.
- Regular use of computers, phones, and office equipment.
