Our Customer is seeking a Property Associate on a contract basis to help support their business needs. This role is onsite in Tampa, FL.
Responsibilities:
Daily
- Check the mail, all mailed invoices are date-stamped and filed in the designated property-specific tray for processing. COIs received by mail are scanned and digitally archived in the database and original documents are filed in the corresponding property binder.
- Monitor and dispatch the work orders and Amenity Center reservation approvals in Prism.
- Manage email correspondence.
- Respond to tenant requests and concerns.
- Draft and send memos as needed.
- ssue access cards to tenants using Datawatch.
- Review the property to check the building’s condition.
- Work day-to-day with the janitorial team (Day Porter/Day Matron) for any requests.
Weekly:
- Maintain accurate Property Information excel spreadsheets – update tenant and vendor information as needed.
- Monitor vendor/tenant COIs – request renewal of expired or soon-to-expire certificates of insurance. (All properties)
- Scan/Upload all property’s invoices into Payscan/Yardi (Tuesdays) as well as code each invoice – vendor #, property # and GL code. (All properties)
- Collect, prepare and deposit CPOA I/II checks at Chase Bank. (Fridays or Mondays)
- Create New Vendors/Change Vendor/Activate Vendor IDs in Yardi as needed. (All properties)
- Schedule and coordinate vendor services. (All properties)
Monthly:
- Create new and update expired vendor contracts.
- Maintain and organize filing system for property documents.
- Contact vendors to request proposals.
Yearly
- Assist the engineering teams with cell phones, laptops, etc.)
- Contribute to planning events for the tenants.
Skills and Qualifications:
- High school diploma is required. Bachelor's degree (BA/BS) is preferred.
- Minimum of 1 year of experience in commercial real estate, property team, or office management.
- Proficient knowledge of Microsoft Office Suite and willingness to learn new programs and technology.
- Advanced oral and written communication skills.
- Strong attention to detail and organizational skills.
- Self-starter with the ability to manage multiple projects under pressure.
- Ability to work autonomously or as part of a team, interacting effectively with coworkers and internal clients at all levels and in multiple disciplines.
- Ability to calculate figures and percentages.
- Capable of developing effective and constructive solutions to challenges and obstacles.
- Comfortable with change and uncertainty, able to shift gears and make decisions without having the complete picture.
