We are seeking a Property Associate on a contract basis to help support their ongoing business needs. This role is on-site in Tarrytown, NY.
The Property Associate ensures organizational excellence by providing administrative, financial, client service, and operational support for one or multiple buildings. This role requires strong organizational and customer service skills, as well as the ability to manage tenant relationships, property operations, and accounting tasks.
Responsibilities:
Administrative
- Provide direct administrative support to property management.
- Maintain contact with maintenance staff to ensure property cleanliness and address needs.
- Assist with management audits and compliance tracking.
- Maintain and update employee, client, and tenant databases.
- Organize reports, department meetings, events, and business travel.
- Enforce compliance with insurance requirements among tenants.
- Establish new tenant welcome and orientation programs.
- Develop and revise property manuals and compliance documents.
Financial
- Support accounts payable by reviewing and coding invoices for payment.
- Assist with accounts receivable, including billing, collections, and adjustments.
- Track administrative expenses and identify cost reduction opportunities.
- Obtain W-9s from vendors and assist with new vendor setup.
- Support budget preparation, reporting, and expense tracking.
- Prepare invoices to tenants for damages or miscellaneous services.
Client Services
- Maintain daily tenant relationships and act as liaison between tenants and the property team.
- Draft tenant communications, memos, and coordinate meetings.
- Manage tenant requests and ensure timely follow-up and resolution.
- Oversee SharePoint management and document uploads.
- Coordinate certificates of insurance (COIs), tenant events, and service requests.
- Open the management office daily at 8:00 a.m. and provide consistent customer service.
Operations
- Review tenant service requests daily and ensure completion and satisfaction.
- Ensure tenant contact information is accurate in building systems.
- Implement best practices and operational standards.
- Coordinate vendor access and contractor documentation.
- Support construction projects, contracts, and quarterly team reviews.
- Collect HVAC PM service contracts from tenants per lease agreements.
Qualifications
- High school diploma required. 2+ years of college or degree preferred, but not required.
- Minimum 3 years of experience in real estate or customer service.
- Advanced oral and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to provide proactive solutions and adapt to change.
- Typing speed of 65+ WPM with 90% accuracy.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Experience with Yardi and MRI is a bonus.
- Strong attention to detail, with the ability to work independently and in teams
- Flexible to occasionally work beyond standard hours.
- Ability to sit or stand for long periods and lift up to 35 lbs.
- Comfortable using stairwells during emergencies and handling physical tasks related to property management.
