We are seeking a Property Manager on a contract basis to help support their ongoing business needs. This role is on-site in East Rutherford, NJ.
As the Property Manager, you will provide leadership to your team and outstanding customer service to your clients, while managing an Office building or portfolio. You are responsible for all aspects of client and tenant satisfaction. As the lead professional, you will also be responsible for preparing budgets and financial reports, managing Tenant Improvements and/or capital improvement projects, and developing your staff.
Responsibilities:
Communication & Leadership
- Communicate regularly and effectively with the General Manager and/or Regional Leadership regarding key building operations and tenant concerns
- Provide support and information to the property team and primary tenant contacts
Budgeting & Financial Management
- Assist in annual budget preparation and supporting documentation
- Review and analyze financial statements and reports, including occupancy rates and lease expirations
- Project future financial positions and budget requirements
- Prepare and review client financial reports on a monthly, quarterly, and annual basis in accordance with management agreements
Property Inspections & Enhancements
- Inspect properties and equipment to assess service and equipment needs
- Recommend and coordinate value-enhancing projects
- Work with the Engineering and Maintenance teams on repairs and renovations
- Obtain and evaluate contractor bids in alignment with client guidelines
- Manage construction projects such as tenant improvements and renovations
- Review construction plans and consult relevant stakeholders
Lease Administration & Tenant Relations
- Support lease proposal reviews and lease language analysis with the Brokerage Team
- Manage the lease administration process, including lease abstracts and tenant coordination
- Maintain knowledge of lease terms to ensure compliance
- Serve as a point of contact for tenant service requests and proactively engage with tenants
Financial Management & Contracting
- Collaborate with accounting services on bookkeeping and collections processes
- Review aging reports, assess collections, and manage delinquent accounts
- Prepare tenant billing adjustments (CPI increases, CAM reconciliations, recoveries, etc.)
- Manage service contracts, from bid analysis to execution, ensuring cost-effective service delivery
- Act as the primary contact for vendors and service contractors
Operations & Compliance
- Conduct regular property inspections to ensure compliance with operational standards
- Manage tenant move-in/move-out processes to minimize disruption
- Ensure all properties have appropriate insurance coverage
- Assist in compliance efforts for audits, documentation, and property operations
Skills and Qualifications:
- Associate's or Bachelor’s degree required (Finance or Accounting preferred)
- An advanced degree is a plus
- Real estate license required within six months of hire (per jurisdiction requirements)
- Real estate license (must be obtained within 6 months of hire)
- LEED AP or GA accreditation preferred
- 5–7 years of commercial real estate or property management experience
- Experience in budgeting, financial reporting, building systems, and lease administration required
- Ability to read and interpret legal documents, technical procedures, and government regulations
- Proficient in creating professional reports, manuals, and correspondence
- Strong presentation skills for engaging various stakeholders
- Proficient in calculating and interpreting financial figures, percentages, and variances
- Strong understanding of cash and accrual accounting methods
- Strong analytical and strategic thinking skills
- Ability to define and solve complex problems with limited standardization
- Comfortable interpreting instructions across multiple formats (written, oral, diagram, schedule)
