We are seeking a Real Estate Transaction Specialist on a contract basis to support our Customer’s business needs. This role is 100% remote.
The Transaction Specialist will play a crucial role in ensuring eligible purchase contracts are qualified for an ongoing rebate program. You will be responsible for confirming eligible purchase contracts are logged in the database and the correct participating agent is receiving credit towards receiving a rebate. You will work with various teams to reconcile data issues and ensure compliance with all legal requirements and rebate program qualifications. The responsibilities for this role involve meticulous auditing of purchase contracts, addressing data discrepancies, and providing support to facilitate the processing of rebates for agents.
Part-time, 25 hours/week
Responsibilities:
Purchase Contract Auditing:
- Investigate discrepancies when purchase contracts are not accounted for in the rebate program
- Identify instances such as unlogged purchase contracts, credit given to incorrect agent or co-agent and purchase contracts executed outside the designated pilot date range
- Reconcile data issues, which may involve communicating with outside brokerages and agents to request additional information or documentation
Support Accounting/Finance for Rebate Processing:
- Assist the accounting and finance teams in processing rebates to participating eligible agents
- Managing tasks such as sending ACH forms to agents via Docusign to ensure seamless payment processing for agents
- Accurately document transactions and rebate amounts on receipts to provide to eligible agents
- Communicate effectively and professionally with all parties, ensuring prompt responsiveness to inquiries, requests for information, and updates on transaction progress
- Provide exceptional customer service to clients, demonstrating a high level of professionalism, courtesy, and responsiveness throughout the transaction
Qualifications
- 2+ years of experience in a similar role within the real estate industry
- Strong knowledge of real estate transaction processes, documentation requirements, and legal/regulatory compliance
- Excellent organizational and time management skills, with the ability to multitask and adapt quickly to process changes
- Exceptional attention to detail and accuracy, ensuring all purchase contracts are fully executed
- Strong communication skills, both written and verbal, with the ability to effectively interact with individuals at all levels and across various teams and outside brokerages
- Ability to work independently and take initiative, while also collaborating effectively within the team
- Proficient computer skills and working knowledge of Gsheets, GDocs, and Docusign
- Highly professional and trustworthy
