We are seeking a Receptionist on a contract basis to help support their ongoing business needs. This role is on-site in Chicago. IL.


The Receptionist role is the first point of contact for visitors and guests, responsible for creating a professional, welcoming, and secure environment. This position requires an extroverted personality, excellent customer service skills, and a “white glove” approach to ensure every guest interaction reflects the highest standards of professionalism. The ideal candidate has a strong work ethic, advanced communication and organizational skills, and the ability to remain at the reception desk consistently throughout the day.



Responsibilities:

  • Greet, welcome, and direct all visitors and guests with professionalism and warmth.
  • Answer and direct telephone calls, provide information, and manage inquiries.
  • Enforce visitor protocols, including ID verification, badge issuance, and return procedures.
  • Maintain visitor log and ensure accurate records of all check-ins and check-outs.
  • Coordinate with hosts to ensure visitors are escorted throughout their visit.
  • Receive and process incoming/outgoing packages and courier deliveries.
  • Manage boardroom reservations, schedules, and equipment.
  • Perform general administrative duties, including typing, filing, photocopying, binding, preparing mailers, and handling basic clerical tasks.
  • Support after-hours events as needed (approx. twice per month on a rotating basis).
  • ID Verification: Politely request and verify a valid physical government-issued photo ID from all guests (no digital copies accepted). Clearly communicate that this step ensures guest and workplace security.
  • Badge Visibility: Issue a guest badge upon check-in and explain that it must be worn visibly at all times while on-site.
  • Guiding Our Visitors: Ensure hosts actively escort their guest(s) throughout the visit, reinforcing both security and personalized service.
  • Efficient Departure: Remind guests to return their badge to Guest Services before leaving to maintain accurate visitor records.


Qualifications

  • High school diploma or equivalent.
  • 5–7 years of receptionist, front desk, or administrative support experience.
  • Strong work ethic with the ability to remain consistently at the reception desk.
  • Outgoing, professional demeanor with excellent verbal and written communication skills.
  • Exceptional customer service skills with a “white glove” approach.
  • Proficiency in Google Suite, Slack, and Microsoft Office (Word, Excel, PowerPoint).
  • Strong multitasking, time management, and organizational abilities.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Knowledge of the local area to guide and assist visitors is preferred.
