We are seeking a Receptionist on a contract basis to support our client’s reception desk. The primary responsibilities of this position are greeting and checking in customers and guests into the facility. This will include creating and issuing photo ID and access control badges to contractors and visitors, ensuring the security of the building, and being the “face of the client”. This is a customer-facing position, and providing excellent customer service is a critical part of this position. Candidates are expected to present a pleasant and professional impression to all guests. Be highly organized, dedicated, and able to handle a variety of duties simultaneously.
This role is on-site in Huntsville, AL.
Work hours: 7:30 am until 4:00 pm, M-F, with flexibility to work overtime when needed
Responsibilities:
- Answer incoming phone calls and transfer calls to appropriate employees
- Badge and assist visitors upon arrival
- Support conference room scheduling and coordination for clients
- Provide general administrative and clerical support
- Assist onsite facilities and operations teams with assigned tasks
- Submit tickets for facility-related issues and building maintenance using internal systems
- Maintain and update building contact lists for key onsite personnel
- Update and maintain the Concierge Playbook, ensuring the current version is available at the front desk at all times
- Perform additional duties and tasks as assigned
- Demonstrate flexibility in roles, responsibilities, and working hours based on business needs
Skills and Qualifications:
- Minimum of 2 years of experience in a receptionist or administrative role
- High school diploma or equivalent required
- Experience working in a busy front desk or customer-facing administrative environment
- Ability to work effectively in a fast-paced, frequently changing environment
- Excellent customer service skills with a professional demeanor
- Strong verbal and written communication skills
- Strong organizational skills with a proactive, problem-solving mindset
- Ability to manage multiple tasks with minimal supervision
- Physical ability to sit for extended periods, climb stairs, and lift up to 25 pounds
- Proficiency with desktop computing platforms and applications, including Microsoft Office Suite and Microsoft Teams
Preferred Qualifications:
- Associate degree or college coursework
- Additional professional experience in a high-volume front desk environment
