We are seeking a Sales Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in Indianapolis, IN.
The Sales Coordinator will provide high-level administrative, financial, and operational support to commercial real estate brokerage producers within the Indianapolis office. This role offers the opportunity to work in a dynamic, fast-paced, and collaborative environment while gaining exposure to multiple aspects of the business, including brokerage, research, marketing, and finance.
Responsibilities:
- Gather market research and compile information to create client deliverables such as market surveys, tour books, and competitive sets.
- Prepare deal documents, including Requests for Proposals, Letters of Intent, renewal letters, leasing status reports, and client correspondence.
- Maintain and update the CRM database to track prospects, clients, and deal information.
- Create and edit presentations, pitches, communications, and other deliverables for client and prospect meetings.
- Plan and coordinate client events, meetings, industry functions, and open houses.
- Serve as liaison between brokers and internal departments such as Research, Marketing, and Finance to address client requests.
- Process and track expense reports in accordance with company policy and manage submissions in PeopleSoft.
- Coordinate travel arrangements and logistics for team members.
- Manage multiple projects simultaneously with strong organization and follow-through.
- Provide general administrative support, including scheduling meetings, greeting clients, conference room setup, and assisting with IT or front desk needs.
- Complete additional administrative or operational tasks as assigned.
Qualifications
- Minimum of 1 year of experience providing administrative support, preferably within the commercial real estate or professional services industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new platforms quickly.
- Experience with Adobe InDesign preferred.
- Strong project management skills, including multitasking, prioritization, and meeting deadlines.
- Highly organized, detail-oriented, and proactive with a willingness to learn and adapt.
- Strong proofreading, editing, and communication skills.
- Demonstrated discretion and professionalism when handling confidential information.
- Positive attitude with a focus on teamwork and personal growth.
