Job description
Our Customer is an American worldwise clothing and accessories retailer, founded in 1969. Over the last 50 years, the company has grown from a single store to a global fashion business with seven brands. Their clothes are availabile in 90 countries worldwide through over 3,100 company-operated stores, almost 400 franchise stores, and e-commerce sites and is still growing.
We are seeking a Sample Coordinator on a contract basis to support their business needs. This role is on-site in San Francisco, CA.
Responsibilities:
- Complete incoming sample requests through warehouse order processes, from request intake to securing samples and providing tracking updates.
- Align with the manager on prioritization when managing multiple sample requests.
- Facilitate store pulls for urgent product requests.
- Coordinate cross-functional sample borrowing when needed.
- Order long lead and seeding samples through internal product sample systems according to sample calendar deadlines.
- Send regular email updates on the status of pending sample orders.
- Assist with packaging planning and execution.
- Execute product send-outs, including product pulling, packaging, shipping, and list management.
- Ensure all products are checked in and organized in storage areas.
- Communicate with vendors and troubleshoot issues related to long lead samples.
- Maintain and update inventory grids for all seeding inventory.
- Ensure inventory is organized and accurately tracked, including outgoing samples and incoming returns.
- Provide timely and professional communication with internal and external contacts.
- Assist in creating seeding lists for VIPs, influencers, media, and related opportunities.
- Coordinate with mailroom teams to resolve shipping issues.
- Facilitate messenger service activities.
- Complete photo requests using internal photo-sharing platforms.
- Attend team meetings, seeding meetings, and seasonal product kick-offs.
Skills and Qualifications:
- Experience managing sample coordination, inventory, or product operations.
- Strong organizational and time management skills.
- Strong attention to detail.
- Ability to prioritize multiple requests and deadlines.
- Strong written and verbal communication skills.
- Experience coordinating with cross-functional teams and external vendors.
- Ability to track inventory and maintain accurate records.
- Ability to troubleshoot logistics and shipping issues.
- Proficiency with email and internal tracking systems.
