We are seeking a Senior Administrative Associate on a contract basis to support our customer's business needs. This role is onsite in South San Francisco, CA.
This role will provide diverse expertise in administrative support to the Vice President and Head of Translational Medicine organization by anticipating, determining, and fulfilling customer’s needs in a proactive, well-organized and customer-oriented manner. This will also provide a team player role on the Translational Medicine administrative team in support of business partners as they work toward success in corporate goals.
Responsibilities:
- Provide timely, accurate, and effective Administrative support to the Vice President and Head of Translational Medicine, contributing to organizational and corporate goals
- General office responsibilities include: maintain multiple calendars; plan, schedule and coordinate complex meetings, travel, onsite/offsite meetings; process payments and expense reports and utilize computer software applications to maximize department efficiency
- Address problems and develop practical, thorough, and creative solutions without relying on precedent or supervisory review
- Exercise independent judgment and discretion with sensitive/confidential and proprietary information.
- Participates, plans, coordinates and prioritizes work within or across departments by providing project leadership, direction, training and assistance to others
- Act as a Mentor or Peer Advisor to other Administrative Professionals
- Understand and troubleshoot from a broader perspective and anticipate the impact/implications of the problem(s) and proactively offer solutions
- Meeting material presentation preparation, support and delivery as needed
- Manage meetings (set agenda, organize meetings, generate minutes)
- Take on responsibilities as they arise to drive results
Qualifications:
- A Bachelor’s Degree or 5-8 years of related experience
- Experience supporting a senior executive in a fast-paced and demanding corporate work environment, highly organized with the ability to multi-task and high attention to detail
- Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting and competing priorities with minimal direction with ability to be available for support outside normal working hours (including some evenings and weekends)
- Ability to make independent decisions and problem solve without reliance on precedent or supervisory guidance
- Ability to make independent decisions regarding calendar priorities to reduce conflicts and accommodate high priority commitments
- Highly collaborative and leads by example.
- Exercises exceptional judgment and discretion regarding information, which may be confidential, material and/or non-public.
- It is essential to be highly skilled in writing and communications, persuasion and positive influence of others.
- Google Apps (Gmail, gCal, gDrive etc.) or equivalent. Currents, Zoom, Meet, Chat or equivalent.
- Possess strong meeting planning, coordination, interview scheduling and logistics management for teams and work groups including all-hands and town hall style events.
- Possess strong organizational skills, managing concurrent projects, prioritizing tasks and managing timelines
- Strong skill set in supporting executive level management, including managing travel (domestic and international), expenses (Concur) and complex calendar management.
