About the Role

We’re looking for an experienced Senior Payroll Specialist to support payroll processing for our U.S. and Canadian employees. This is a hands-on role responsible for helping ensure payroll is processed accurately, on time, and in compliance with applicable requirements.


The ideal candidate has strong payroll experience, hands-on experience with ADP Workforce Now, and is comfortable working through payroll details, resolving issues, and partnering with Finance, HR, and managers across the organization.


This position reports to the Director of Finance, with a close working relationship with the Senior Director, Human Resources.


Schedule

 Payroll is processed biweekly for approximately 300 U.S. employees and 50 Canadian employees.

 The majority of the work occurs on Monday, Tuesday, and Wednesday of payroll weeks, with lighter support needed during the remainder of the week.

 Estimated hours are approximately 20–25 hours during payroll processing weeks and 0–3 hours during the alternating off week.

 This is a remote, part-time position with a predictable biweekly payroll schedule.


What You’ll Do

 Process biweekly payroll for U.S. and Canadian employees using ADP Workforce Now, including regular payroll, adjustments, bonuses, deductions, and other payroll-related items.

 Review payroll information for accuracy and completeness before payroll is finalized.


 Reconcile payroll registers and supporting information, including comparing current payroll gross wages to the prior payroll and investigating significant variances.

 Reconcile payroll information against timekeeping and HR records and work with site-level managers or HR to resolve discrepancies.

 Maintain accurate employee payroll information and records in ADP.

 Prepare payroll reports and provide information to Finance and HR as needed.

 Support payroll tax filings, reconciliations, and reporting requirements in partnership with Finance and payroll tax providers.

 Help ensure payroll practices remain compliant with applicable U.S. federal, state, local, and Canadian requirements.

 Troubleshoot payroll issues and work with ADP and internal partners to resolve questions or system-related issues.

 Identify opportunities to improve payroll processes, reporting, and accuracy.

 Maintain confidentiality when handling employee compensation and other sensitive information.

 Assist with additional payroll and HR-related projects as needed.


What You Bring

 Several years of hands-on payroll processing experience.

 Strong experience with ADP Workforce Now; experience processing payroll directly in ADP is required.

 Experience with U.S. payroll is required and Canadian payroll being a plus.

 Intermediate Excel skills, including the ability to work with payroll data, perform reconciliations, and identify discrepancies.

 Strong attention to detail and a high level of accuracy.

 Good problem-solving skills and the ability to research and resolve payroll issues.

 Strong organizational skills and the ability to manage deadlines within a biweekly payroll cycle.

 Comfortable working remotely while staying connected with Finance, HR, and site managers.


 Ability to handle confidential employee and payroll information with discretion.

 A team-oriented approach and willingness to ask questions, collaborate, and escalate issues when needed.
