We are seeking a Site Operations Coordinator on a contract basis to help support their ongoing business needs. This role is on-site in NYC.


As a Site Operations Coordinator, you'll provide essential administrative and operational support to the site management team. Your role will focus on ensuring a smooth delivery of day-to-day operations, assisting with vendor coordination, and supporting communication between various stakeholders on-site.



Responsibilities:

  • Schedule and coordinate vendor activities, inspections, and service visits.
  • Maintain accurate records of vendor interactions, service requests, and operational activities.
  • Assist in preparing reports on site operations and vendor performance.
  • Respond to inquiries from staff, vendors, and clients in a professional and timely manner.
  • Support the implementation of site procedures, protocols, and compliance requirements.
  • Organize and maintain operational manuals, documentation, and databases.
  • Track and report on key performance indicators (KPIs).
  • Coordinate site meetings and prepare supporting materials.
  • Assist with front desk operations, including greeting visitors and directing inquiries.
  • Liaise with the regional mailroom lead to ensure efficient site operations.
  • Participate in safety and compliance initiatives to maintain a safe workplace.


Qualifications

  • 2 years of experience in an administrative or operational support role
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office suite, particularly Excel and Outlook
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Basic understanding of customer service principles
  • Ability to work onsite full-time
  • Flexibility for reimbursed travel between client locations


Preferred:

  • Experience in a facilities management or property management environment
  • Familiarity with vendor management concepts
  • Basic knowledge of building operations and maintenance
  • Experience with data entry and database management
  • Understanding of health and safety practices in a workplace setting
  • Exposure to scheduling and coordination software
