We are seeking a Special Events Coordinator on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Las Vegas, NV.
The Special Events Coordinator supports the Experience Marketing team in the planning and execution of both live and virtual events designed to engage gaming communities and elevate brand presence. This role is responsible for managing event logistics, coordinating with vendors, and supporting onsite operations, while also assisting with budgeting and event setup.
The position requires strong organizational skills, attention to detail, and the ability to operate effectively in a fast-paced environment. Success in this role depends on delivering seamless event experiences and contributing to the execution of engaging, high-impact programs that resonate with target audiences.
Responsibilities:
- Support planning and execution of live and virtual events, including large-scale activations and brand experiences
- Manage schedules, track milestones, and assist with budgeting, invoicing, and vendor contracts
- Coordinate event setup, onsite logistics, inventory, troubleshooting, and volunteer staff management
- Liaise with vendors, talent, production teams, and partners to ensure seamless execution and deliverables
- Collaborate with marketing teams to align events with brand strategy and promotional efforts
- Organize travel, hospitality, registration, and onboarding for guests, talent, and internal teams
- Support event technology setup, including livestreaming, tournament hardware, and broadcast logistics
- Monitor event performance metrics, collect feedback, and recommend process improvements
- Assist with contingency planning and resolve last-minute issues during events
- Ensure compliance with regulatory, safety, and accessibility standards
- Stay current on industry trends, tools, and best practices in events, gaming, and esports
Skills/Qualifications
- Bachelor’s degree (BA/BS) or equivalent experience
- 1-3 years of experience in event coordination, preferably within gaming, esports, or related industries
- Strong passion and understanding of the video gaming or esports space
- Experience supporting live and virtual events, tournaments, or brand activations
- Strong project coordination skills with the ability to manage multiple priorities and deadlines
- Experience with budget tracking and expense management
- Experience working with vendors, partners, or agencies
- Familiarity with livestreaming platforms, event production, and broadcast technology
- Strong cross-functional collaboration and communication skills
- Ability to adapt quickly in fast-paced, dynamic environments
- Willingness to work flexible hours, including evenings, weekends (occasional events), and travel
