Job description

The Mom Project is excited to partner with our client, a financial technology leader and bank holding company with a mission to power the banking industry’s branchless future.


We are seeking an HR Operations & Systems Specialist to play a critical role in optimizing, maintaining, and executing the company's HR systems and operational processes. This position blends hands-on HR operations with HR technology enablement to ensure efficient, compliant, and high-quality HR service delivery. The specialist will own onboarding and offboarding workflows, conduct key HR audits, support compliance initiatives, and drive continuous process improvements that enhance the employee experience.


This role is 100% remote.



Responsibilities:

  • Administer and support HR systems and related platforms, including configuration, testing, upgrades, documentation, and troubleshooting
  • Execute core HR operational processes, including onboarding, offboarding, contractor onboarding, and contractor management
  • Review offer letters and support new hire profile creation and orientation coordination
  • Coordinate employment eligibility verification processes, such as I-9 completion
  • Process terminations and support exit interview workflows
  • Own and perform weekly HR audits including onboarding completeness, termination accuracy, organizational structure validation, and compliance checks
  • Drive remediation efforts, reduce cycle time, and prevent backlog-driven errors through audit findings and follow-through
  • Manage and monitor HR inbox communications, triaging employee requests and ensuring timely and accurate responses
  • Review and approve HR requests including tuition reimbursement, employee referrals, employment verification letters, benefits-related events, and other HR operational requests
  • Maintain and update HR process documentation, SOPs, and user guides
  • Provide training and guidance on HR systems and HR operational processes to HR staff and employees
  • Ensure HR data integrity and compliance with data privacy regulations across HR systems and workflows
  • Identify opportunities for automation and process improvement, implementing workflow enhancements and automated communications where applicable
  • Collaborate with HR, IT, and cross-functional partners to resolve technical and operational issues and support HR technology initiatives
  • Extract, analyze, and report HR data to support HR initiatives, compliance requirements, and business needs
  • Serve as a subject matter expert for assigned HR technology modules or HR operational areas, providing guidance to team members


Skills and Qualifications:

  • Bachelor’s degree in Human Resources, Information Technology, Business Administration, or a related field
  • 2+ years of progressive experience in HR operations and HR technology roles
  • Experience supporting major HRIS platforms such as Workday
  • Strong understanding of HR operational processes, including recruiting, onboarding, payroll, benefits, performance management, compliance, and employee support
  • Strong analytical and problem-solving skills with high attention to detail
  • Ability to translate business requirements into operational and technical solutions
  • Proficiency in HR data extraction, reporting, and analysis
  • Strong written and verbal communication skills with the ability to collaborate effectively across teams
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience supporting system implementations, upgrades, integrations, and process improvement initiatives preferred
  • Commitment to confidentiality, data accuracy, and high-quality HR service delivery
  • Proven ability to work independently in a fully remote environment with minimal oversight
  • Comfortable working with camera-on participation as required
