Our Customer is seeking a Stock Administrator Analyst on a contract basis to support the day-to-day administration of their equity programs. The ideal candidate will be a proactive problem-solver with strong communication skills and a commitment to maintaining confidentiality and accuracy. You will be responsible for managing equity-related inquiries, maintaining the equity inbox, and providing support to the Stock Administration team.
This role is 100% remote or on-site in Santa Monica, CA.
Responsibilities:
- Equity Inquiries: Serve as a primary point of contact for employee questions regarding equity awards, including stock options and restricted stock units (RSUs).
- Inbox Management: Manage and monitor the equity administration inbox, ensuring all inquiries are addressed in a timely and professional manner or routed to the appropriate team member.
- Administrative Support: Assist in the maintenance of equity data and records, including grant information, vesting schedules, and participant details.
- Documentation: Help prepare and distribute equity-related communications, such as grant agreements, vesting notices, and transaction confirmations.
- Employee Education: Assist in developing and updating educational materials and resources for employees to better understand their equity grants.
- System Support: Provide support for the company's equity management platform, assisting with data entry and report generation as needed.
- Special Projects: Participate in special projects related to equity administration, such as year-end tax reporting, audit requests, and program compliance.
- Confidentiality: Handle all employee and company information with the utmost discretion and confidentiality.
Skills and Qualifications:
- Education: Bachelor's degree in Finance, Business Administration, CEPI, or a related field, or equivalent practical experience, but not required.
- [1-2] years of experience in a financial, HR, or administrative support role. Prior experience with equity administration is a plus, but not required.
- CEPI, or a related field, or equivalent practical experience, but not required.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook). Experience with equity management software (e.g., Schwab, Shareworks, E*TRADE) is a plus.
- Communication: Excellent written and verbal communication skills with the ability to explain complex topics clearly and patiently.
- Attention to Detail: Meticulous attention to detail and a high degree of accuracy are essential.
- Problem-Solving: Strong analytical and problem-solving skills with the ability to work independently and as part of a team.
- Adaptability: Ability to manage multiple priorities and adapt to a fast-paced environment.
- Integrity: Demonstrated ability to handle sensitive and confidential information with integrity.
